Duties & responsibilities
Act as single point of contact in ensuring 100% compliances for JLL/ Sub vendors deployed across bp locations in India. Act as single point of contact for building and statutory compliance management,coordination and tracking in coordination with campus manger / Account lead and manage escalation from bp compliance/ admin team .
Must be able to coordinate and close any random/organized Labour/ PF/ESI/ Electrical / safety / CIEG audits by designated authorities of Govt of India across all bp India locations in coordination with our consultants/ sub vendors/ JLL compliance head. Ensure that JLL/ Sub vendors have a valid License across all locations in India. Any License which is due for renewal must be proactively initiated/ followed up in coordination with bp Compliance team/ Karma untill same gets renewed every year and copy is available with site FM. Must be able to manage & guide team of regional compliance SPOC's which include monitoring, tracking, mentoring compliance regional spoc’s on various deliverables on day-to-day basis and ensure JLL/ Sub vendor compliance for their respective regions on monthly basis. Ensure that JLL/ Sub vendors adhere to compliance process and timelines of documentation submission to bp Compliance team/ as per our agreement on monthly basis Coordinate with JLL HR in ensuring that JLL entity documentation is 100% compliant as per requirement. Also ensure that Regional Compliance Spoc's receives monthly records from JLL HR team as per agreed timelines. Ensure monthly Internal Audits by Karma happens at all sites and any new site should be included in schedule. Also, ensure that audit report is shared with all site FM's. Responsible for ensuring building statutory compliance on availability of all statutory obligations. Ensure that we are receipt of monthly status report from bp compliance team as per agreedtimelines and circulate same to respective regional compliance spoc's, city managers & account managers as soon as it's received.
Ensure that any non-compliances for previous months gets closed for JLL/ Sub Vendors by necessary guidance and support to compliance regional leads based on monthly status as received from bp and updated records to be submitted to bp Compliance Team/UCS ASAP. Discuss and follow-ups with regional compliance spoc's/ City managers/ Vendors compliance teams/ JLL HR in case of any issues/ challenges with regards to gaps in JLL/ Sub Vendor Compliance documentation on monthly basis. Share Monthly Dashboard of Compliance Status for review with City Manager/ Account Director which should include - Monthly scores, high level issues & challenges, support required. Discussion with bp Compliance team on monthly basis to understand expectation and highlight any Issues/ Challenges where we need their Clarifications/Support. Document MOM's, share with management and track untill closure Must be able to escalate/ raise any critical issues/ challenges for JLL/ Sub Vendors proactively and track unless same gets closed. MOM's of discussion with JLL HR and vendors must be shared with regional compliance leads, city managers, account managers and tracked closely until closure Organise Training sessions for Site FM’s on regional basis to better their understanding on overall statutory compliance process and clarify any doubts. Must be able to propose any changes in process, structure, system as and when required in ensuring 100% compliance delivery in accordance with respective state acts. One process improvement per quarter with detailed business case quantifying results.Key Responsibilities:
Develop and maintain compliance policies and procedures that align with applicable laws, regulations, and industry standards. Stay updated on legal and regulatory changes impacting the facility management industry and communicate their implications to relevant teams. Assess and identify potential compliance risks within the organization's operations and develop strategies to mitigate them. Conduct regular compliance audits to assess the organization's adherence to internal policies and regulatory requirements. Collaborate with internal stakeholders such as legal, operations, and finance teams to ensure compliance measures are effectively implemented. Train and educate employees on compliance policies and provide guidance to ensure their understanding and adherence. Investigate instances of non-compliance and implement corrective actions and preventive measures where necessary. Prepare and submit regulatory reports and filings as required. Monitor industry best practices to continuously improve the organization's compliance program. Represent the company in compliance-related matters with regulatory bodies and external auditors, as requiredPerformance objectives

Sound knowledge of laws and regulations related to facility management, such as health and safety regulations, environmental regulations, building codes, BSC, WELL audits, etc. Experience conducting compliance audits and implementing corrective actions. Strong analytical and problem-solving skills. Excellent written and verbal communication skills. Ability to work independently and collaboratively in a fast-paced environment. Diligence and strong organizational skills. Professional certifications in compliance is must.Employee specification
Bachelor's degree in Business, Law, or related field is preferred. Proven experience (10-15 years) working in a compliance role, preferably within a facility management or real estate services company.What this job involves:

Part of the checklist you will run through are to plan and execute all preparations needed for meetings and conferences with clients and VIP visits. Likewise, the mailroom, front office and housekeeping all fall into your realm.

You should be mobile and capable of working anywhere because you will perform daily check-ins around the front office and lobby to ensure high standards. Whatever mix-ups or jams that you spot, you should be quick to figure out the best repairs. Your input and ideas will be sought to help steer the team in directions that help make the facility perform at its best.
A typical day for you also involves contact with vendors—reviewing their services and coordinating with them for the resolution of any service issues.

Core facilities management skills
If you’re a graduate in any discipline, you will most likely to qualify for this role. You should also have 5-7 years of experience in facilities management. It would be great if you have tertiary qualifications in hotel management, building management and/or business.
