Job description


Steadfast is looking for Personal Assistant to the Director.

This is an extensive travel job profile for events, expos, seminars, business and social meetings, gatherings, assisting the Director.

The candidate must maintain relation with guests by extending warm welcome, addressing their queries and ensuring they are comfortable as well as assist the Director in all meetings, gatherings and make schedules, travel arrangements and assist in day to day activities.


Personal Assistant to the Director will have to:

  • Welcome, guide and assist guests on behalf of the Director.
  • Book Itinerary, hotels, and arrange all necessary travel arrangements for the Director.
  • Make minutes of meetings and should have a strong follow-up sense.
  • Assist Director in meetings and gatherings.
  • Maintain documents, records and invoices, make reports and meeting agenda sheets.
  • Should be able to resolve conflicts and accommodate as per last minute changes in itinerary.
  • Must have strong communication and inter-personal skills.
  • Candidate must be soft spoken but aggressive on work.
  • Must have event planning and program coordination experience.
  • Must maintain confidentiality of Director's meetings and travel plans and work schedules.
  • Should be able to carry out all official tasks in stipulated time frame.
  • The ideal candidate will provide top-level assistance to the Director.
  • Should be well-organized and be comfortable scheduling meetings and responding to emails on the director's behalf.
  • Candidate should be able to draft documents and assist the director for various day to day tasks.


Responsibilities:

  • Calendar and meeting management for Director.
  • Assist Director in preparing for meetings.
  • Responding to emails and document requests on behalf of the director.
  • Draft slides, meeting notes and documents for director.
  • You will exercise flexibility and problem-solving abilities to adjust and prioritize schedules based on frequent, last-minute changes.
  • Organise domestic and international travel and submit expense reports.
  • Attend staff meetings, take and send out meeting notes.
  • Organise a variety of events (both business and social) throughout the year.

  • Support day to day needs including: escorting people in and out of secured areas for meetings, providing lunches, printing documents, and other tasks to make the day run smoothly.
