Dispatch Officer

The Dispatch Executive/Officer will play acrucial role in ensuring the timely and accurate dispatch of ourproducts to customers. The ideal candidate will possess strongorganizational skills, attention to detail, and the ability to workeffectively in a fast-paced environment.

KeyResponsibilities:

1. Order Processing: Processincoming orders received through various channels, ensuringaccuracy and completeness of order details, including productspecifications, quantities, and delivery addresses.

2. Inventory Management:Coordinate with the warehouse team to maintain optimal inventorylevels and ensure the availability of products for dispatch.Monitor stock levels, manage stock rotation, and conduct regularstock audits.

3. DispatchCoordination: Schedule and coordinate dispatchactivities, including packaging, labelling, and arrangingtransportation for outgoing shipments. Liaise with logisticspartners and carriers to ensure timely delivery of products tocustomers.

4.Documentation: Prepare and maintain accurate recordsof dispatch activities, including order details, shippingdocuments, and delivery confirmations. Generate invoices, packingslips, and shipping labels as required.

5. Quality Assurance: Conductquality checks on outgoing shipments to ensure products meetquality standards and customer specifications. Address anydiscrepancies or issues identified during the dispatchprocess.

6. CustomerService: Respond to customer inquiries and provideupdates on order status, shipment tracking, and delivery schedules.Address customer concerns or complaints related to dispatch anddelivery in a timely and professional manner.

7. Communication: Communicateeffectively with internal teams, including sales, production, andcustomer service, to coordinate order fulfilment and resolve anyissues impacting dispatch operations. Provide regular updates ondispatch status and performance metrics.

8. Process Improvement:Identify opportunities for process improvement andefficiency gains in dispatch operations. Implement best practicesto streamline workflows, reduce lead times, and enhance customersatisfaction.

9.Compliance: Ensure compliance with relevantregulations, standards, and company policies governing dispatchoperations, including health and safety regulations, export/importrequirements, and shipping regulations.
