JobProfile:Along with ensuringaccuracy and adherence to the company standards at all times themajor Job Responsibilities for the positioninclude:Communication: Serve as theprimary point of contact between the CEO and internal/externalstakeholders while keeping up with the relevant and urgentcorrespondences through different mediums within and outside thecompany. Handle incoming calls emails andmessages ensuring timely responses and appropriateprioritization. Streamline communicationchannels to enhance the efficiency of information flow to and fromthe CEO. Implement tools or processes tomanage emails and messageseffectively.CalendarManagement with Optimisation & MeetingSupport: Implementstrategies to optimize the CEOs time for strategicinitiatives. Coordinate organise and managethe CEOs schedule including appointments meetings conferencesevents and travel arrangements. Anticipatescheduling conflicts and proactively address them with necessaryedits/updates. Prepare meeting agendas takedown minutes and prepare official correspondences and follow up onactionitems.DocumentPreparation:Prepare and edit correspondence reports presentations and otherdocuments on behalf of the CEO. Maintain ahigh level of accuracy in preparing documents reports andpresentations. Format important informationfor proper communication while maintaining the standard system ofFileManagement.TravelArrangements &Logistics: Planthe CEO s travel arrangements including flight bookings hotelaccommodations and transportation to ensure a seamless andstressfree experience. Create detaileditineraries for the trips and provide necessary traveldocuments.Confidentiality:Handle sensitive and confidential information with discretion andprofessionalism. Monitor and report onadherence to confidentialitypolicies.TaskPrioritization:Prioritize and manage multiple tasks simultaneously ensuringdeadline compliances. Develop and implementsystems for task prioritization to ensure that critical tasks areaddressed promptly. Track and report on timemanagement metrics such as response times and task completionrates.MeetingEffectiveness:Improve the effectiveness of meetings by ensuring wellpreparedagendas timely distribution of materials and prompt followup onaction items. Measure and report on keymetrics related to meeting efficiency.Identify opportunities for process improvement in administrativetasks and implement changes to enhanceefficiency.StakeholderRelationshipManagement: Buildand maintain positive relationships with internal and externalstakeholders on behalf of the CEO. Measureand report on stakeholder satisfaction.Monitor and report on the success of implemented processimprovements.
