Assistant Transport Manager

Work Dynamics

What this job involves

Managing Transport which includes a fleet of 17 buses and 4 cab vendors , 20 nos. of Drivers, Vendor Staff (Includes Trackers, Dispatchers, Supervisors, Site in charge, Data Entry Staff, MIS Executive, and Operational in charge)
 
• Managing transportation for 1300 Employees on daily basis thru our internal Application system.

• Single-point of contact for BCP management

• Amendment of Routing verification, validation and saturated cab deployment. 

Customer Satisfaction Related: - 
• Measuring and take appropriate action on Login Delays through Operational Daily Proficiency Report. 
• Ensuring amendment of 4 Level Cab Tracking to ensure on time Login and back up cab arrangement in case of break down of cabs or driver’s negligence. 
• Arrangement for Monthly Transport Meeting with Process Managers and Team Leaders - department wise to ascertain transport related issues and level of expectation and to educate employees on the transport policies and procedure and proper flow of request through proper channel. 
• Amendment of daily Feedback, Suggestion and Complaint tracker and action on the same with in SLA. 
• To maintain employee confidentiality. 
• To maintain continues track record of employee's complaints and follow up based on case study. 
Safety & Security Related: - 
• To ensure amendment of Daily Escort Security Service Confirmation for each trip. 
• As a HR Work Force Administration responsible to modify contingent worker profile up to date. 
• To ensure amendment and fulfillment of Daily cab health checkup, & Escort Guard Background Check.
• To visit accident or incident spot and ensure fulfillment of the accident or incident report with case history. 
• To ensure Termination of drivers involved in offence incident. 
• Escort guard & Drivers induction based on there back ground verification. 

Costing Related: - 
• Optimization of the routes by proper clubbing within the company policy & ensuring employee satisfaction. 
• Ensure amendment and fulfillment of Daily Trip Sheet Audit. 
• Ensure in time submission of MIS Report.
• Ensure submission of bills related to Transport Department timely with approvals to the finance department. 
• Ensure proper route execution.
• Ensure all transactions are supported and serve Objective Evidential Aspect. 
• Cost optimization by studying trend of cab utilization and ensure maximum utilization of cabs. 
• Ensure to collect No Due Note or Debit note or Credit note as applicable from the vendors every quarterly. 

Leadership and Internal Team Management: - 
• To ensure proper hand over and take over process is carried out between the relievers. 
• To ensure planned leave of the team and coverage for the same. 
• To ensure team is following proper escalation matrix to avoided conflicts. 
• To ensure the smooth operations are carried out and the proper strength per shift in accordance.
• To ensure dealing with people (Employees, Management & Vendors) are done in a professional manner. 
• To understand the work pressure of the team and to suggest to over come with the work pressure by proper distribution and simplification of work flow. 
• To understand the team’s grievance and sort them by meeting them in One to One basis. 
• To prepare the team for Monthly Management Review meeting. 
Vendor Management Related: - 
• To ensure Daily duty roster is send with the leave coverage of Vendor Staff 
• To conduct weekly operational review meeting 
• To understand the work pressure of vendor staff and to suggest to over come with the work pressure by proper distribution and simplification of work flow. 
• To keep the Vendor Staff motivated towards work and educate the firms expectation, policies and procedures and the objectives of there presence and get maximum deliverables. 
• To understand the Vendor Staff grievance and address the issues related to there Vendor management in a professional manner. 
• To follow up on transport related issues and resolve them in timely fashion.
