**JD - Executive Operations**
Roles & Responsibilities:
- Transportation Management: Plan, coordinate, and manage transportation services for employees, including pick-up and drop-off schedules, routes, and vehicles. Ensure compliance with transportation regulations, safety standards, and company policies. Monitor transportation operations to optimize efficiency and minimize costs. Maintain accurate records of employee transportation activities, such as attendance, route changes, and vehicle maintenance.
- Employee Profile Creation: Create and maintain employee profiles in the transportation management system. Ensure accurate and up-to-date information for each employee, including contact details and transportation preferences.
- Schedule Management: Develop and manage transportation schedules for employees based on their requirements and organizational needs. Handle regular and last-minute adjustments to schedules, taking into account changes in employee availability or operational requirements.
- Routing - Regular/Last Minute Adjustments: Determine optimal routes for employee transportation, considering factors such as traffic conditions and time efficiency. Make necessary adjustments to routes on a regular basis or in response to last-minute changes or emergencies.
- Vendor Allocation: Collaborate with transportation vendors to allocate appropriate vehicles and resources for employee transportation. Ensure proper communication and coordination with vendors to meet service level expectations.
- Vehicle Deployment: Coordinate the deployment of vehicles for employee transportation, ensuring sufficient capacity to accommodate the number of employees.
- Ground Level Coordination with Vendor Supervisors - Documentation and Vehicle Availability: Maintain effective communication and coordination with vendor supervisors regarding vehicle availability, documentation requirements, and operational updates.
- Helpdesk Management: Act as the point of contact for employees' transportation-related queries, concerns, and requests.
- Provide timely and accurate assistance to resolve issues and address inquiries.
- Alert Management: Monitor and respond to alerts and notifications related to transportation operations, such as delays, breakdowns, or changes in schedules. Take appropriate actions to mitigate the impact on employee transportation.
- Incomplete Trip Validation & Closure (ODC, MIS, Duty Hours, and Tolls): Validate and ensure the completeness of transportation trips, including verifying the accuracy of trip records, duty hours, toll charges, and other relevant information. Take necessary actions to close incomplete trips and resolve any discrepancies.
- Driver/Escort Briefing - Every Major Logout: Conduct regular briefings with drivers and escorts to provide instructions, updates, and guidelines for efficient and safe transportation operations.
- Ensure drivers and escorts are aware of their responsibilities and adhere to company policies.
- Drop Coordination: Coordinate drop-off locations and timings for employees, considering individual preferences and operational requirements.
- Communicate and confirm drop details with employees and drivers to ensure smooth execution.
- EHS - Random/Trip Level Checks: Conduct random and trip-level checks to ensure compliance with environmental, health, and safety regulations. Identify and address any EHS issues or concerns related to employee transportation.
- Feedback Response (Negative Feedback): Address and respond to negative feedback received from employees regarding transportation services.
- Reports: Daily Weekly and Monthly reports as per the Client's requirement.(OTA, OTD, Noshow, Occupancy, and Compliance Etc.
**Salary**: ₹20,000.00 - ₹30,000.00 per month
