Role Purpose
To build, manage, and retain a high-performing clinic team by owning recruitment, onboarding, employee relations, performance support, attendance, documentation, and staff coordination. The HR executive ensures smooth people operations, strong discipline, and a professional workplace culture that supports patient experience and business growth.
Key Responsibilities
1. Recruitment & Workforce Planning
- Handle end-to-end hiring for clinical and non-clinical roles: doctors, therapists, nurses, counselors, receptionists, sales staff, support staff, and coordinators.
- Work with management to forecast manpower needs and plan hiring timelines.
- Source candidates via job portals, social media, references, WhatsApp groups, and local networks.
- Screen resumes, conduct initial interviews, coordinate final interviews, and manage offer discussions.
- Build and maintain a strong candidate pipeline for current and future vacancies. 2. Onboarding & Induction
- Manage joining formalities, documentation, and employee file creation.
- Conduct structured onboarding: clinic tour, role briefing, SOP introduction, team introduction, and basic training coordination.
- Ensure new hires receive ID, access, uniform, and required tools on Day 1.
- Conduct onboarding check-ins in the first 30–60 days to improve retention. 3. Employee Records, Attendance & Compliance
- Maintain accurate employee files, attendance, leave records, and HR trackers.
- Ensure proper documentation for compliance and internal audits.
- Coordinate payroll inputs, incentive records, and F&F settlements with finance/operations.
- Enforce HR policies, SOPs, and workplace rules consistently. 4. Performance, Discipline & Employee Relations
- Support managers in tracking performance, KRAs/KPIs, and workplace conduct.
- Handle grievances, conflicts, counseling, warning letters, PIPs, and disciplinary matters professionally.
- Conduct exit interviews and analyze attrition trends to reduce turnover.
- Promote a culture of trust, accountability, and respect across the team. 5. Training, Engagement & Retention
- Identify training needs and coordinate skill development sessions for staff.
- Support engagement activities: recognition, milestones, team meetings, and morale-building initiatives.
- Work with management on retention strategies, incentives, and career-path discussions. 6. HR Reporting & Coordination
- Prepare monthly HR reports: hiring status, attrition, attendance summary, open positions, and recruitment pipeline.
- Act as the main HR point of contact for staff and managers.
- Collaborate with operations, sales, and clinical heads for smooth workforce planning. Required Skills & Qualities
- Strong recruitment and screening skills with good judgment of attitude and fit.
- Excellent communication, coordination, and follow-up ability.
- Confident handling of staff issues, discipline, and sensitive matters.
- Organized, detail-oriented, and able to maintain accurate records.
- Comfortable with Excel, WhatsApp, email, and basic HR systems.
- Professional, mature, and able to work in a fast-paced clinic environment. Preferred Experience
- 2–6 years of HR & recruitment/administration experience.
- Experience in clinic, hospital, salon, wellness, dermatology, or service industry is a strong plus.
- Graduate in any stream; HR background preferred.
