Job Description:
We are seeking a highly organized and proactive Admin Executive to join our team. The ideal candidate will have a strong background in administrative operations, excellent organisational skills, and the ability to manage multiple priorities effectively. This role plays a vital part in ensuring the smooth running of our office and providing support to various departments.
Key Responsibilities:
- Supervise housekeeping staff to maintain cleanliness, orderliness, and hygiene across office premises.
- Oversee day-to-day office administration, ensuring a clean, safe, and well-maintained workplace.
- Manage office security, including monitoring access control and coordinating with security personnel.
- Purchase required items from the local market or suppliers for office use, if needed
- Maintain office supplies inventory and track usage to prevent shortages.
- Coordinate and schedule meetings, appointments, and travel arrangements for employees and management.
- Manage incoming and outgoing communications, including emails, phone calls, and courier/mail handling.
- Collaborate with HR in planning and executing company events, meetings, and employee engagement activities.
- Liaise with vendors, contractors, and service providers to ensure quality and timely delivery of goods and services.
- Assist with basic bookkeeping, budget tracking, and expense management processes.
- Provide administrative and logistical support to senior management and other departments as required.
- Monitor compliance with company policies, processes, and administrative protocols.
Qualifications:
- Minimum 4 years of experience in an administrative role, preferably in a fast-paced environment.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Ability to work independently and as part of a team
- High level of discretion and confidentiality.
- Attention to detail and problem-solving skills.
