Production Operations

Key Responsibilities:

1. ENFORCEMENT OF RULES AND REGULATIONS

• Enforce company policies, rules, and regulations as directed by management (Harshil Ji, Ms. Dhvani J, Mr. T.M. Baba, Ms. Mini N, or other managers).
• Ensure effective implementation and maintenance of compliance procedures across all departments in coordination with VPs, Managers, and Leads.
• Create and update Worksheets and Reports to ensure proper implementation.
• Identify compliance risks and take corrective actions as necessary.

2. SCHBANG MOTION PICTURES (SMP) AND NON-SMP SMP DOCUMENTATION

• The Associate shall be the primary point of contact for all Schbang Internal teams, VPs, Managers, with respect to production of any movie, film, videos either through SMP or any other third-party vendor.
• Upon receiving such a request, the Associate shall share a Checklist with such internal team.
• In the event, the said film, video is being produced by a non-SMP third-party vendor, the Associate shall main a Master Tracker (Excel Sheet).
• They shall ensure that all necessary documents, such as link documents, No Objection Certificates (NOCs), invoices, and other legal paperwork, are executed and complied with when a brand approaches Schbang for film production, and update the same on the Master Tracker and save it on the Google Drive.
• CENTRALIZED IP REPOSITORY

The Associate shall maintain a secured and access-controlled repository for storing all intellectual property assets produced from the financial year onwards to the present () including:

i. Film scripts, storyboards, and raw footage

ii. Digital marketing assets

iii. Vendor agreements and contracts

iv. Copyright registrations and licensing documents

An Excel Sheet Tracker shall be created for the keeping track of all these IP Assets. Access shall be strictly limited to authorized personnel, and any access requests shall require written approval from senior management.

3. VENDOR MANAGEMENT AND COORDINATION

• The Associate shall be responsible for Vendor Management which shall include:

• Ensure Vendor Registration Forms (VRF) and Vendor Agreements are signed when onboarding vendors.
• The Associate shall maintain records and update the Master Tracker for all vendors, covering:

Status of Vendor Agreement Status

Services Provided

Vendor Reviews & Ratings (based on factors like project count, responsiveness, timely delivery, and overall performance).

Flagging discrepancies in vendor performance.

• The Associate shall be Point of Contact (POC) for Vendor Queries and maintain Vendor-Schbang relationships and facilitate vendor documentation and regulatory compliance.
• Ensure proper documentation for vendor management, licensing, and legal contracts.
• The Associate must be looped into emails whenever a vendor is onboarded or a vendor-related requirement arises, acting as a link between the Legal Department and Internal Teams.

4. PIRACY AND LICENSING

Anti-Piracy Enforcement

• A third-party vendor shall be onboarded to scan, monitor, and track all creative assets developed by Schbang using digital watermarks, invisible trackers, and automated crawlers to detect unauthorized usage.
• Any instance of piracy or unauthorized use shall be immediately flagged by the Associate, and a cease-and-desist notice shall be issued by the Legal Department.

Internal Piracy and IP Breach Monitoring

• The Associate shall regularly audit internal teams for any unauthorized usage or mismanagement of Schbang's intellectual property.
• Any internal personnel found to be engaging in unauthorized use, duplication, or dissemination of Schbang's creative assets shall be subject to disciplinary and legal action, including but not limited to termination and liability for damages.
• The Associate shall conduct periodic training sessions for Schbang internal teams to ensure all piracy-related guidelines are adhered to.

Licensing

• The Associate shall ensure regulatory requirements are met for licensing and content usage.
• The Associate shall be the primary point of contact and shall ensure proper licensing when any Schbang internal team wishes to use licensed music, audio, video, or other digital assets for clients.

This document serves as a guideline for the Production Integrity & Vendor Management Associate's responsibilities and expectations. The Associate shall ensure that the company remains in compliance with legal and regulatory requirements while facilitating operational efficiency.
