Job Description: WFx Coordinator

Position Title: Workforce Experience Coordinator (WFx Coordinator) Job Overview: A WFx Coordinator oversees new employees' integration into the organization. They create thorough programs, hold orientation sessions, and offer assistance to facilitate the transition for new employees and they are first point of contact for our internal and external employees/resource as they reach out with any concerns, questions, issues, or information that they have with regards to the many areas of their employment with BCforward including, but not limited to, Human Resources requests, application & system issues as well as payroll questions to highlight the main topic areas. The target is to ensure excellent service is provided to our employees by being patient, empathetic and act with a sense of urgency. It is key to take ownership of ensuring tickets are edited and triaged accurately, ultimately ensuring they reach the appropriate point of escalation as well as following up to ensure that the employees issue is resolved. Essential Functions

  • Onboarding Specialist skills to capture all necessary information when recording anincident and communicating with the employees.
  • Assess the needs of new hires and develop onboarding plans that meet therequirements.
  • Orient new employees to the companys policies and procedures.
  • Ensure that new hires have all the necessary tools, equipment, and resources needed todo their job.
  • Develop and facilitate onboarding activities, such as team building, job training, andorientation.
  • Establish and maintain relationships with new hires to ensure a smooth organizationaltransition
  • Develop and maintain onboarding materials, such as job descriptions, employeehandbooks, and other relevant documents.
  • Manage the onboarding process from beginning to end, including scheduling, tracking,and reporting.
  • Prepare and present onboarding reports to Senior management.
  • Training new joiner on Timesheet submission on respective tool accordingly within 24 hours or48 hours of the candidate Onboard
  • Provide feedback and guidance to new hires regarding their performance.
  • Monitor and assess the progress of new hires to ensure they are making satisfactoryprogress.
  • Ensure that new hires receive appropriate training and development opportunities.
  • Manage employees records and data according to corporate policies.
  • Develop and update onboarding procedures and processes.
  • Liaise with other departments to ensure new hires have the necessary support andresources.
  • Make recommendations for process and policy changes.
  • Identify areas for improvement and provide feedback.
  • Monitor and report on onboarding expenses and track progress against budget.

Requirements

  • Excellent communication skills, including active listening.
  • Critical Thinking and Ability to multi-task, prioritize, and manage time effectively.
  • Should be comfortable working in Rotational Shifts
  • Candidates must be highly energetic to multitask and handle emails, chats, and phone calls.
  • Manage support tools: phone/ email/ chat and make outbound calls.
  • Adaptive to Change; willing to learn new methodologies and Technologies.
  • 3 to 5years of experience as an Onboarding Specialist or Call Center environment, experiencewith US-based clients preferred (Optional)
  • High attention to detail & consistent performance including follow through.
  • Able to work in a team and in a fast-paced environment and adapt quickly and efficiently tochanges.
  • Strong verbal and written communication skills that allow you to clearly and effectivelyinform and influence audiences internally and externally, across organization boundaries.
  • High levels of integrity and discretion in handling confidential information
  • Familiar with various Internet Browser (Firefox/IE)/Email Clients (Outlook/Gmail)
  • Moderately flexible schedule/availability Night Shift Preferred.
  • Current hours of operation for Department- 8am-8pm EST (5pm 8am IST)
  • Ability to multitask numerous duties at the same time.
  • Ability to perform Audits as required

Preferred Qualifications

  • Certifications ITIL, SHRM, or equivalent
  • System knowledge ADP, ATS, Fresh works Suite/Zendesk/Service Cloud (or otherticketing systems)
  • Any Graduate with experience in HR Field/Customer service/Technical support (Handled USClients)

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

  • This is a full-time position. The days WFx Team operates are Monday through Friday, covering the range of 12:00 a.m. to 8 p.m. EST – agents should expect to work an 8-hour shift (this excludes breaks and lunch)
    •It's a Work from Office Position.
    •The position is expected to work from 11:00 AM to 08:00 PM IST (01:30 am – 10:30 am EST) initially, but it can alter depending on the business requirements.
    •Candidate should be flexible enough to work any shifts.

Required Education and Experience

1.Graduate with 3 to 5 Years of relevant experience2.Freshers with strong communication skills and a thorough understanding of customer service and Onboarding.3.Experience administering employee benefits, including health, welfare and Tax.4.Experience with Support/Ticketing products, HRIS and payroll systems.
