Job Summary:
The Administration Executive is responsible for overseeing and managing the day-to-day administrative activities of the organisation. The role ensures smooth office operations, vendor management, facility upkeep, logistics coordination, and compliance with company policies.
Key Responsibilities:
Office & Facility Management
- Ensure smooth functioning of daily office operations, including housekeeping, security, pantry, stationery, and front office.
- Maintain and monitor the upkeep of office infrastructure, furniture, equipment, and utilities.
- Coordinate with facility service providers and ensure timely renewal of contracts (e.g., housekeeping, pest control, AMC).
Procurement & Vendor Management
- Source and evaluate vendors for office supplies, services, and maintenance.
- Prepare purchase requests, obtain quotations, and maintain cost control within budget.
- Ensure timely payments and maintain vendor records.
Travel & Logistics
- Manage travel arrangements (flight, train, hotel bookings, transport coordination) for employees.
- Oversee vehicle management – company cabs, fuel records, insurance, and maintenance schedules.
- Support coordination for company events, meetings, and training sessions.
Asset & Inventory Management
- Maintain records of office assets and consumables.
- Conduct periodic physical verification of assets and ensure tagging and accountability.
Compliance & Documentation
- Ensure statutory compliance related to administration (fire safety, labour laws, etc.).
- Maintain up-to-date documentation, including licenses, contracts, and renewal trackers.
- Handle correspondence, courier management, and filing systems.
Employee Support
- Assist in onboarding logistics (desk setup, ID cards, access cards, etc.).
- Address employee facility-related requests and ensure timely resolution.
- Coordinate with HR for welfare activities and administrative support for engagement events.
Key Skills & Competencies
- Strong organisational and multitasking skills.
- Good negotiation and vendor management abilities.
- Attention to detail and cost-conscious approach.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Knowledge of office administration systems and procedures.
Qualification & Experience
- Bachelor's Degree in Business Administration / Management / Commerce or related field.
- 2–5 years of experience in office administration, facilities, or operations management.
Work Conditions
- Based at Head Office -Coimbatore.
- May require travel to branch locations or vendor sites occasionally.
Reporting Line
- Reporting to the Admin Incharge.
Job Types: Full-time, Permanent
