The role is positioned to manage complex requisition and interview scheduling processes while acting as a key coordinator between hiring managers and recruiters through email and voice communication.
Specialist recruitment administration is a subject matter expert who contributes to IV scheduling, requisition management, process improvements, mentor colleagues, conduct quality checks, manage workload, and assist in investigating issues or escalations to ensure operational excellence.
Key AccountabilitiesWhat you'll be doing:
- Manage complex requisition processes and interview scheduling, ensuring timely coordination with hiring managers.
- Communicate effectively with recruiters through email and voice to support seamless recruitment operations.
- Maintain and review daily reporting, including account-level volumes and trend analysis.
- Act as a Subject Matter Expert (SME) in designated processes, contributing to process improvements, mentoring colleagues, and providing training or coaching.
Perform quality assurance checks on team deliverables, manage workload distribution, and assist in resolving issues or escalations.
Assist with helpdesk tasks, update the applicant tracking system, and start or verify pre-employment checks and references.
Managing various ad-hoc administration activities to support the effective running of the recruitment process
Building and maintaining strong working relationships between all parties including recruiters, hiring managers, vendors (e.g., PEs vendor), and other account stakeholders
Ensuring stakeholders are continually appraised and updated on the relevant processes
Management of day-to-day queries relating to their area of responsibility, ensuring all are dealt with in an effective and timely manner and escalated where necessary
Participating in continuous improvement implementation within the immediate team
Fully utilizes technology and other rollouts and changes implemented to the team
You'll need to demonstrate:
- Data integrity accuracy for self and (Senior) Recruitment Coordinators
- Completion of tasks within agreed timescales or Service Levels
- Compliance to policies, procedures, and ISO standards applicable to both client and AMS
- Requisition management & Interview scheduling
- Offer Management & Helpdesk support
- Completion of mandatory trainings
- Customer satisfaction/working within Service Levels
- Efficient usage of Digital Automation or Technology
- Partnership with clients and stakeholders through effective collaboration
