About the role

The Sales Support role is responsible for coordinating and acting as a central interface between Sales Management, Sales Administration, Customers, and the Back Office. The role ensures smooth order processing, efficient communication, timely deliveries, accurate reporting, and customer satisfaction: all contributing to the achievement of the company's sales targets.

Role & responsibilities

Order Processing & Management:

  • Process and track customer purchase orders to ensure timely completion and delivery. Monitor order backlog and coordinate with the sales team and customers to clear pending orders promptly.
  • Execute project-based orders by ensuring process alignment and timely dispatches.
  • Gather regular feedback from internal teams to confirm that materials are delivered to project sites as scheduled.
  • Coordinate sales support activities, including issuing Proforma Invoices, arranging inspections, liaising with the Finance team for payments, sharing documentation and reviewing LC drafts.
  • Identify orders with potential negative margins and proactively alert the Segment Head to mitigate financial risks.

Order Resolution & Communication:

  • Communicate effectively with the Segment Head regarding any pending or delayed orders. Provide timely updates and propose solutions to ensure prompt execution.
  • Take a proactive, solution-oriented approach to address outstanding order-related issues and help ensure smooth operations and on-time fulfillment.

Delivery & Dispatch Management:

  • Monitor the delivery status of incoming orders and follow up with the Supply Chain Management (SCM team on any delays or long lead times.
  • Notify SCM and Segment Heads immediately about delayed materials to ensure timely escalation and response.
  • Coordinate with the Warehouse and Sales teams to clear pending dispatches, offering support as needed to ensure timely order fulfillment.

Reporting & Analysis:

  • Generate and deliver various sales reports as requested by the Sales team to support decision-making.
  • Provide historical sales data for presentations and other specific requirements, ensuring data accuracy and timeliness.
  • Track monthly sales targets set by management. Regularly follow up with the Sales team to ensure targets are met and assist in resolving any discrepancies.

Customer Support:

  • Actively monitor and respond to customer queries, ensuring prompt and effective resolution to maintain high levels of customer satisfaction and loyalty.

Audit & Compliance:

  • Coordinate inter-departmental audits and ensure all relevant records are properly maintained, organized and available for compliance and future reference.

  • Strong attention to detail in order processing, reporting, and documentation.
  • Ability to prioritize tasks and manage time effectively.
  • Ability to analyze sales data and prepare reports using SAP & MS Excel.
