Position: Purchase Officer

Location: Nearbymart Head Office.

Reports To: Purchase Manager

Job Type: Full-time

Overview:

The Purchase Officer will be responsible for managing the procurement of goods and supplies for the supermarket. This role involves sourcing products, negotiating with suppliers, maintaining inventory levels, and ensuring the store's shelves are stocked with quality products at competitive prices.

Key Responsibilities:

  • Procurement of Goods:
  • Source, select, and purchase all items required for supermarket shelves (including groceries, fresh produce, beverages, household items, and non-food products).
  • Negotiate with suppliers to obtain the best pricing, terms, and delivery schedules.
  • Ensure that the store has a consistent supply of products based on customer demand and seasonal requirements.
  • Inventory Management:
  • Monitor inventory levels and ensure timely restocking of products.
  • Track product sales trends to forecast inventory needs.
  • Coordinate with the store's inventory team to identify fast-moving and slow-moving items.
  • Maintain stock levels to avoid both overstocking and stockouts.
  • Supplier Management:
  • Build and maintain strong relationships with suppliers, including negotiating long-term contracts.
  • Ensure that the supermarket receives high-quality products at competitive prices.
  • Resolve any supplier-related issues, such as delays or quality concerns, in a timely manner.
  • Purchase Order Management:
  • Prepare and submit purchase orders to suppliers as needed.
  • Ensure timely delivery of products according to the purchase order agreements.
  • Maintain accurate records of all orders, receipts, and payments.
  • Cost Control and Budgeting:
  • Work with the finance team to stay within budget and help control overall procurement costs.
  • Monitor pricing trends in the market and adjust purchasing strategies accordingly.
  • Quality Assurance:
  • Inspect goods upon delivery to ensure they meet quality and safety standards.
  • Work with the quality control team to identify and address any product quality issues.
  • Market Research and Analysis:
  • Stay updated on market trends, pricing fluctuations, and competitor pricing strategies.
  • Research new products and vendors that may benefit the supermarket.
  • Reporting:
  • Provide regular reports to management on inventory levels, supplier performance, and purchasing activities.
  • Maintain accurate records of orders, deliveries, and payment schedules.
  • Collaboration:
  • Work closely with other departments, such as Sales, Marketing, and Store Management, to ensure product availability meets customer needs.
  • Assist in planning promotional and seasonal campaigns by ensuring necessary stock levels.

Required Skills & Qualifications:

  • Proven experience as a Purchase Officer, Procurement Officer, or in a similar role (preferably in retail or supermarket environments).
  • Strong negotiation skills and ability to manage supplier relationships.
  • Good understanding of inventory management and procurement processes.
  • Excellent communication, organizational, and time-management skills.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in Microsoft Office (Excel, Word, etc.) and procurement software.
  • A degree or diploma in Supply Chain Management, Business Administration, or a related field (preferred).

Working Conditions:
