1. Ordering Process

Objective: Ensure timely procurement of parts and materials to maintain operational

continuity.

  • Step 1: Requirement Analysis

Identify inventory needs based on stock levels, upcoming projects, and

consumption trends.

Consult with workshop teams to prioritize critical items.

  • Step 2: Supplier Selection & Approval

Verify approved suppliers and compare quotations for the best terms.

Ensure suppliers meet quality and delivery standards.

  • Step 3: Purchase Order (PO) Creation

Generate a detailed PO specifying item quantities, specifications,

delivery timelines, and costs.

Obtain necessary approvals before dispatching the order to the

supplier.

2. Receiving Process

Objective: Ensure accurate and compliant receipt of ordered inventory.

  • Step 1: Delivery Verification

Inspect incoming shipments against the purchase order and delivery

note.

Check for damages, defects, or discrepancies (e.g., quantity mismatch).

  • Step 2: Documentation

Record received items in the inventory management system.

Retain delivery notes, packing slips, and inspection reports for audit

purposes.

  • Step 3: Quality Control

Conduct quality checks for critical parts to ensure they meet

specifications.

Report any non-conformance to the supplier and initiate a return

process if needed.3. Storage Process

Objective: Maintain organized and secure storage to protect inventory and ensure

easy access.

  • Step 1: Categorization & Labeling

Store items based on type, size, frequency of use, or project allocation.

Use barcode or RFID systems for accurate tracking and retrieval.

Allocate specific storage zones for different types of inventory (e.g.,

Ensure frequently used items are placed in easily accessible areas.

Regularly inspect the storage area to maintain cleanliness and prevent
