Facility Executive :
We are seeking a proactive and detail-oriented
Facility Executive
to oversee day-to-day operations and ensure the smooth functioning of our workspace environment. The ideal candidate will be responsible for maintaining the facility, managing inventory, coordinating with vendors, and supporting both operational and customer service requirements.
Key Responsibilities:
1. Facility Maintenance:
- Ensure cleanliness, orderliness, and functionality of all office spaces including workstations, meeting rooms, restrooms, pantry, and common areas.
- Conduct regular facility inspections and report any repair or maintenance needs.
2. Customer Service:
- Act as the primary point of contact for member or employee facility-related queries.
- Address and resolve issues promptly to ensure a positive workplace experience.
3. Health & Safety:
- Ensure adherence to health, hygiene, and safety protocols.
- Support regular safety drills and maintenance of emergency equipment.
4. Inventory Management:
- Monitor and maintain inventory of office supplies, stationery, equipment, and furniture.
- Raise requisitions for restocking as required.
5. Security Oversight:
- Ensure proper functioning of security systems such as CCTV, access control, and alarm systems.
- Monitor and manage access cards or other security credentials.
6. Vendor Coordination:
- Liaise with external vendors for services such as cleaning, pest control, HVAC maintenance, and repairs.
- Track and report vendor performance and service quality.
7. Administrative Support:
- Assist in preparing reports related to space utilization, maintenance logs, and incident reports.
- Manage service request documentation and maintain facility records.
8. Event & Operations Support:
- Provide logistical support for in-house events, meetings, and community activities.
Assist with room setup, AV equipment, and post-event cleanup.
Billing & Documentation:
Support billing for ad hoc or extra services (e.g., additional utilities or special setups).
- Maintain accurate records of service usage and related charges.
Requirements:
- Bachelor's degree or diploma in Facilities Management, Administration, or related field.
- 2–4 years of experience in a similar role, preferably in coworking or commercial spaces.
- Good knowledge of facility management practices and safety standards.
- Strong communication, coordination, and problem-solving skills.
- Ability to multitask and respond to urgent issues effectively.
- Proficient in MS Office and facility management software (if applicable).
Working Conditions:
- On-site presence required during working hours.
- May require occasional extended hours for events or urgent facility issues.
