Job Summary:

We are seeking a dynamic and customer-focused Front Office Executive to manage our reception area and support day-to-day administrative and billing activities. The ideal candidate will be the first point of contact for visitors and customers and must be able to handle front desk operations efficiently while extending support to the billing department when required.

Key Responsibilities:

  • Greet and welcome visitors and clients in a warm, professional manner.
  • Manage incoming phone calls, emails, and direct queries to the appropriate departments.
  • Maintain the cleanliness and organization of the reception area.
  • Handle visitor logs and ensure compliance with office security protocols.
  • Coordinate meeting room bookings and ensure facilities are prepared.
  • Provide basic administrative support including filing, data entry, and document handling.
  • Assist the billing department with invoice generation, record-keeping, and follow-up on payments as needed.
  • Manage courier services, incoming/outgoing mail, and office supply inventory.
  • Maintain up-to-date records of customer interactions and office operations.
  • Collaborate with internal teams to ensure smooth day-to-day operations.

Qualifications & Skills:

  • Bachelor's degree or equivalent (preferred).
  • Minimum of 2 years of experience in a front office, receptionist, or administrative role.
  • Prior experience in billing support will be an added advantage.
  • Strong communication and interpersonal skills.
  • Proficient in MS Office Suite (Word, Excel, Outlook).
  • Good organizational and multitasking abilities.
  • Professional appearance and positive attitude.
  • Basic knowledge of billing or accounting software (preferred).
  • Ability to handle confidential information with integrity.

Job Type: Full-time
