Position Overview

The
Admin Executive
will be responsible for managing administrative tasks, facility operations, documentation, logistics, and support services across the organization. The role requires strong organizational skills, a proactive mindset, and the ability to coordinate with multiple stakeholders.

Key Responsibilities
Administrative Operations

  • Manage day-to-day administrative activities for smooth office functioning.
  • Maintain office records, documentation, and filing systems (physical & digital).
  • Draft and manage official correspondence, letters, and internal communications.
  • Handle procurement of office supplies, stationery, and equipment.
  • Monitor inventory and ensure timely replenishment of materials.

Facility & Asset Management

  • Oversee maintenance of office premises, vehicles, IT equipment, and other assets.
  • Coordinate with vendors, service providers, and facility maintenance teams.
  • Support in AMC management and renewals for office utilities and equipment.

Logistics & Coordination

  • Coordinate travel arrangements, accommodation, and event logistics as required.
  • Assist in planning and execution of organizational events, meetings, and programs.
  • Liaise with internal teams to ensure smooth admin support for field activities.

Compliance & Documentation

  • Maintain administrative compliance records, licenses, and renewals.
  • Support HR and finance departments in administrative documentation.
  • Maintain attendance registers, visitor logs, and access control systems.

Vendor & Purchase Management

  • Obtain quotations, evaluate vendor proposals, and manage purchase orders.
  • Track and verify bills, invoices, and service agreements.

Required Qualifications & Skills

  • Graduation in any stream

  • Strong organizational, multitasking, and time-management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic IT handling.
  • Good written and verbal communication skills.
  • Ability to coordinate with multiple teams and work under minimal supervision.
  • High level of integrity, accountability, and attention to detail.
