Job Description
We're looking for a proactive and detail-oriented
Admin Executive
to manage day-to-day office operations and ensure smooth functioning across departments. The ideal candidate will handle facilities, vendors, procurement, travel, and asset management while maintaining a secure and compliant workplace. This role demands strong coordination, multitasking, and communication skills to support administrative efficiency and a positive work environment.
Responsibilities
- Oversee daily administrative operations, ensuring a clean, secure, and efficient work environment with uninterrupted utilities.
- Supervise housekeeping, coordinate maintenance and repairs, and manage seating arrangements and workstation allocations.
- Coordinate with vendors for housekeeping, stationery, cafeteria, pest control, and courier services.
- Manage procurement, stock control, AMCs, quotations, and vendor payment processing.
- Maintain accurate records of office assets, IT peripherals, and consumables, ensuring proper tagging and tracking.
- Conduct periodic asset verification and manage inward/outward documentation.
- Handle travel bookings (flights, trains, cabs, hotels) for employees and guests, and manage courier services.
- Maintain documentation of dispatches, deliveries, and ensure timely logistics support.
- Support audits, ISO documentation, and maintain compliance, fire safety, and insurance records.
- Collaborate with HR on employee engagement activities, events, and celebrations.
- Provide administrative assistance during meetings, trainings, and internal/external audits.
Skills
- Bachelor's degree in any discipline (preferably B.Com/BBA).
- 1-3 years of experience in Administration or Facility Management, preferably in the IT sector.
- Strong coordination and multitasking abilities.
- Good written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Knowledge of procurement, vendor handling, and expense tracking.
- Exposure to ISO or compliance processes will be an added advantage.
