The Back Office Sales Coordinator will be responsible for providing comprehensive administrative and operational support to the sales department. The role ensures effective coordination between internal teams, timely order processing, and consistent communication with customers to achieve smooth business operations and high customer satisfaction.
### **Key Responsibilities:**
1. **Sales Order Processing**
* Receive, review, and process customer purchase orders accurately.
* Prepare quotations, proforma invoices, and sales confirmations.
* Coordinate with production, stores, and dispatch teams to ensure timely delivery.
2. **Customer Communication**
* Respond promptly to customer inquiries on product availability, delivery schedules, and order status.
* Follow up with customers on pending payments and order confirmations.
* Maintain professional communication and build strong client relationships.
3. **Internal Coordination**
* Liaise between the sales team, accounts, and logistics departments.
* Ensure all relevant documentation is completed and properly filed.
* Assist sales representatives with data management, lead follow-ups, and reports.
4. **Documentation & Reporting**
* Maintain updated sales records and order tracking sheets.
* Prepare daily, weekly, and monthly sales and dispatch reports.
* Support management in analyzing sales trends and performance.
5. **Administrative Support**
* Manage customer databases and contact information.
* Assist in preparing presentations, sales summaries, and correspondence.
* Ensure compliance with company policies and quality standards.

### **Qualifications & Experience:**
* Bachelor's Degree in Business Administration, Commerce, or related field.
* Minimum **1 to 3 years** of experience in back-office, customer service, or sales coordination roles.
* Experience in handling ERP systems or MS Office applications (Excel, Word, Outlook).
