Job Title: Accounts Executive – Disbursement Accounts

Location: Vashi, Navi Mumbai

Reports To: Finance Manager / Head – Accounts

Job Summary:

The Accounts Executive – Disbursement Accounts will be responsible for preparing, reviewing, and maintaining Disbursement Accounts (DAs) related to vessel port calls. The role involves verifying invoices, coordinating with internal and external stakeholders, and ensuring timely and accurate financial documentation in line with company policies and contractual terms. This position requires strong analytical skills, attention to detail, and familiarity with the shipping or logistics industry.

Key Responsibilities / Job Duties:

Assist in the preparation and review of Proforma Disbursement Accounts (PDAs) and Final Disbursement Accounts (FDAs) received from port agents.

Ensure timely submission of DAs to relevant stakeholders, including clients, charterers, and internal departments.

Verify invoices and supporting documents related to port calls for accuracy, completeness, and compliance with contractual terms.

Coordinate with port agents, the operations team, and vendors to resolve queries and discrepancies in DAs.

Update and maintain the DA tracking system with relevant data, including port call details, cost breakdowns, and payment statuses.

Assist in internal audits, compliance checks, and documentation for regulatory or customer reporting.

Maintain proper filing and recordkeeping of all DA-related financial documents as per company policies.

Participate in process improvement initiatives to enhance efficiency and accuracy in DA processing.

Internal Contacts:

Management finance hubs, IT department, financial department, S5 regional hubs, client managers, and S5 management.

External Contacts:

Customers, ship management teams, port authorities, vendors, suppliers, sub-agents, and charterer's agents.

Qualifications, Experience, and Skills:

Bachelor's degree in Finance, Accounting, Commerce, or a related field.

2–4 years of experience in a finance or accounting role; experience in the shipping or logistics industry is a plus.

Basic understanding of Disbursement Accounts and vessel operations preferred.

Strong attention to detail and numerical accuracy.

Proficiency in MS Excel and standard financial or ERP software.

Good communication and coordination skills.

Ability to work under pressure and manage multiple deadlines efficiently.

Job Types: Full-time, Permanent

Pay: ₹500, ₹650,000.00 per year
