About the Job

Key responsibilities:

A. Client & vendor coordination:

1. Support the lead planner in understanding client needs and expectations.

2. Communicate with vendors such as venues, caterers, decorators, photographers, and entertainers to keep everything on track.

3. Maintain updated vendor details, contracts, and agreements.

B. Venue & logistics support:

1. Assist with venue research, site visits, and layout planning.

2. Help manage hospitality arrangements, guest travel, and accommodation.

3. Ensure smooth on-site execution, from seating plans to entry setups.

C. Décor & styling assistance:

1. Work alongside the design team to bring the chosen theme to life.

2. Coordinate floral décor, lighting, stage setups, and installations.

3. Support with bride and groom entries, activity counters, and other key elements.

D. Food & beverage management:

1. Help with menu planning, tasting sessions, and final selection.

2. Coordinate with catering teams for food presentation and service.

3. Oversee bar services and ensure smooth beverage arrangements.

E. Guest & hospitality care:

1. Welcome and guide guests during events.

2. Coordinate with hospitality staff to manage check-ins, seating, and special requests.

3. Ensure guests feel comfortable and looked after throughout the celebration.

F. Event day support:

1. Be actively present at all functions (Mehendi, Haldi, Sangeet, Wedding, Reception, etc.).

2. Follow checklists for décor, entertainment, photography, sound, and choreography.

3. Handle last-minute challenges calmly and efficiently.

G. Administration & budget tracking:

1. Assist in keeping track of budgets, vendor payments, and documentation.

2. Maintain timelines, task lists, and event schedules.

3. Collect client and guest feedback after the event.
