2. Key Responsibilities:

A. Agreement & Loan Management

  • Create and process loan/agreements after receiving requisitions from department heads. 
  • Dispatch agreements and related documents to respective employees and stakeholders. 
  • Maintain MIS data and reports as per BU Head requirements. 
  • Handle loan agreements for amounts above ₹30,000, including data maintenance and document follow-up. 
  • Prepare supporting letters and ensure completeness of documentation. 
  • Manage cheque dispatch and related coordination across divisions. 

B. Vendor Creation & Management

  • Create and manage vendor codes for Legal, HR, Insurance Brokers, and other departments. 
  • Maintain vendor database (approx. 250+ vendors annually). 
  • Ensure timely acquisition and provision of stationery and printed materials (letterheads, envelopes, etc.) for HO employees. 
  • Verify bills and follow up with vendors for invoice completion and payments. 
  • Coordinate with regional offices for printing and distribution requirements. 

C. Attendance & Contract Employee Management

  • Submit senior-level attendance (VP & above) monthly to Emcure. 
  • Handle Randstad India Pvt. Ltd. contract employee processes including: 
  • Monthly attendance processing and payroll coordination. 
  • Mediclaim reimbursements. 
  • Full & Final (F&F) settlements and onboarding of new joiners. 
  • Investment uploads for income tax in Randstad portal. 
  • Follow-up for salary slips, billing sheets, compliance challans, ID cards, and police verification. 

D. Reimbursement Processing

  • Validate and process mobile, residence, and data card reimbursements for HO and plant employees. 
  • Ensure approvals from HR HOD and maintain eligibility records and reimbursement history. 

E. Operational Support

  • Manage inward sorting and distribution of HR-related dispatches across divisions. 
  • Resolve queries related to HR inwards of field employees. 
  • Support dispatch team in coordination and timely document delivery.
