Job Purpose:

To provide administrative and analytical support to the sales team by managing sales coordination, maintaining data accuracy, preparing MIS reports, and ensuring smooth communication between sales, operations, and management teams.

Key Responsibilities:

1. Sales Coordination:

  • Coordinate with sales team, distributors, and clients for order processing and dispatch tracking.
  • Maintain records of quotations, purchase orders, and invoices.
  • Support the sales team in preparing proposals, presentations, and client communication.
  • Follow up with internal departments (logistics, accounts, etc.) to ensure timely deliveries and payments.

2. MIS & Reporting:

  • Prepare daily, weekly, and monthly sales reports (target vs. achievement, region-wise, product-wise, etc.).
  • Track sales performance metrics and share dashboards with management.
  • Manage and update CRM / ERP systems with accurate sales and customer data.
  • Analyze sales trends and highlight deviations or improvement areas.

3. Data Management & Documentation:

  • Maintain master data for customers, pricing, and product information.
  • Handle documentation for tenders, agreements, and compliance requirements.
  • Ensure proper filing and data security for sales-related documents.

4. Communication & Coordination:

  • Act as a liaison between sales, finance, logistics, and other internal departments.
  • Handle customer queries and provide timely responses.
  • Support management in preparing business review reports and presentations.

Key Skills Required:

  • Strong knowledge of
    MS Excel (Pivot Tables, VLOOKUP, Charts)
    and
    MIS reporting.
  • Good understanding of
    sales processes
    and
    coordination activities.
  • Excellent
    communication and follow-up skills.
  • High attention to detail and accuracy in reporting.
  • Ability to multitask and work under deadlines.

Qualification & Experience:

  • Education:
    Graduate in Commerce / Business Administration or equivalent.
  • Experience:
    2–5 years in Sales Coordination / MIS / Back Office role.
  • Software Knowledge:
    Excel, PowerPoint, ERP / CRM systems (SAP, Salesforce, or similar).
