The Front Office Executive is responsible for managing the reception area, handling administrative tasks, and ensuring a seamless experience for patients and visitors. This role involves greeting guests, managing appointments, coordinating with departments, and maintaining a professional and welcoming environment.

Key Responsibilities:
Reception & Patient Assistance:
  • Welcome and assist patients, visitors, and staff with inquiries and directions.
  • Manage patient registrations, appointment scheduling, and follow-ups.
  • Handle incoming calls, emails, and correspondence professionally.
  • Ensure a clean and organized reception area for a professional atmosphere.
Administrative Support & Coordination:
  • Maintain patient records and ensure accurate data entry in hospital systems.
  • Coordinate with doctors, nurses, and departments for smooth workflow.
  • Manage billing inquiries and assist with payment processing.
  • Handle courier services, office supplies, and administrative logistics.
Customer Service & Communication:
  • Provide clear and courteous information about hospital services and policies.
  • Address patient concerns and escalate issues to the appropriate authority.
  • Assist international patients with required documentation and procedures.
Team Collaboration & Compliance:
  • Work closely with medical and non-medical staff to ensure operational efficiency.
  • Ensure compliance with hospital protocols and maintain confidentiality.
  • Participate in training sessions to enhance service quality and communication skills.

Qualifications & Skills:
  • Minimum 1-3 years of experience in front office, customer service, or hospital reception.
  • Strong organizational and multitasking abilities to manage high patient flow.
  • Proficiency in MS Office, hospital management software, and appointment scheduling tools.
  • Ability to maintain a calm and professional demeanor under pressure.
  • Bachelor's degree in Hospitality, Business Administration, or a related field.
