Job Summary:

The Sales Coordinator will support the sales team in managing quotations, orders, and vendor coordination while ensuring all activities are accurately tracked in the CRM system. This role involves close coordination with internal teams such as Design, NPD, and Purchase, as well as external vendors, to ensure smooth execution of sales operations and timely delivery of customer orders.

Key Responsibilities:

  1. Obtain quotations from vendors.

  2. Prepare customer quotations based on vendor inputs and pricing strategy.

  3. Follow up with the sales team regarding quotation status and update the CRM accordingly.

  4. Check daily assigned leads in the CRM and update the CRM Implementation.

  5. Inform the Design and NPD teams upon receiving confirmed orders for:

  6. Conducting CFT meetings.

  7. Preparing designs.

  8. Releasing work orders.

  9. Coordinate with the NPD Design team to obtain and finalize drawings.

  10. Follow up with the Purchase team for PO preparation and advance payment release.

  11. Send POs, drawings, and reference images to vendors via email and confirm over the phone.

  12. Follow up daily with vendors to ensure timely order completion and delivery.

  13. Attend daily morning sales review meetings and provide updates on order status.

  14. Update SS rack invoice weight and actual transport cost in quotation and order booking sheets to verify final margins.

  15. Create and update sales employee records and generate weekly tracking reports.

  1. Excellent coordination and communication skills.

  2. Strong data management and reporting skills.

  3. Proficiency in CRM tools and MS Excel.

  4. Good follow-up and vendor management abilities.

  5. Strong attention to detail and organizational skills.

Ability to handle multiple tasks and meet deadlines.
