Coordinate with vendors, venues, and stakeholders to ensure all aspects of the event are in place. Prepare event materials, signage, and other necessary items. Manage event timelines, ensuring that deadlines are met and activities run smoothly.
Help with attendee registration, guest lists, and communications before and during events. Troubleshoot any logistical issues that arise during the event. Collect feedback from attendees and provide recommendations for improvements.
General Operations Support:Provide administrative support to the operations team, including preparing reports, tracking budgets, and maintaining event documentation. Assist in maintaining inventory and organizing event-related supplies. Coordinate internal and external communication related to event execution and logistics.
Help ensure that operational processes are followed and contribute to process improvement initiatives. Support with scheduling and calendar management for various operational activities. Monitor event-related expenses and assist in budget management.
Cross-functional Collaboration:Work closely with other departments, including marketing, sales, and customer service, to ensure a seamless event experience. Support teams with the implementation of post-event activities, such as follow-ups, reporting, and data entry. Qualifications:Bachelor's degree in Business, Event Management, or related field preferred.1-2 years of experience in event coordination or general operations.
Strong organizational skills and ability to manage multiple tasks simultaneously. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Basic knowledge of event planning software or project management tools (e.g., Trello, Asana) is a plus. Ability to work in a team-oriented environment and manage cross-functional relationships. Flexibility and adaptability in a fast-paced work environment.
Skills and Competencies:Detail-oriented: Ability to ensure that all event elements are executed flawlessly. Problem-solving: Quick thinking and solution-oriented when handling event or operational challenges.
