Introduction

As an
Assistant Purchase Manager
, you're the quiet force that keeps the retreat running smoothly behind the scenes.

Your role ensures that every department has what it needs — at the right quality, right cost, and right time — without waste or compromise.

You balance vendor relationships, inventory control, and cost efficiency while aligning purchases with our sustainability and quality standards.

Your mission: build a procurement system that's efficient, ethical, and future-ready — supporting mindful luxury without excess.

Key Responsibilities

  • Support end-to-end purchasing operations across F&B, housekeeping, engineering, wellness, and guest services.
  • Assist in vendor sourcing, evaluation, negotiation, and relationship management.
  • Ensure timely procurement of materials, consumables, and services as per approved requisitions.
  • Maintain accurate records for purchase orders, GRNs, invoices, and vendor documentation.
  • Coordinate closely with Stores, Finance, Operations, and department heads to ensure smooth supply flow.
  • Monitor inventory levels to avoid shortages, overstocking, and wastage.
  • Ensure cost control without compromising quality, brand standards, or guest experience.
  • Support sustainable procurement practices aligned with the retreat's biophilic and eco-conscious ethos.
  • Assist in price comparisons, budgeting inputs, and vendor performance reviews.
  • Ensure compliance with internal SOPs, approval matrices, and audit requirements.
  • Handle urgent and ad-hoc procurement needs with agility and accountability.

Qualifications & Skills

  • Bachelor's degree or diploma in Hospitality Management, Supply Chain, or a related field.
  • 2–4 years of experience in purchase or stores operations, preferably in hospitality or luxury resorts.
  • Strong understanding of procurement processes, inventory control, and vendor coordination.
  • Familiarity with ERP/PMS purchase modules and basic accounting documentation.
  • Detail-oriented, organised, and comfortable handling multiple priorities.
  • Strong negotiation and communication skills — firm yet professional.
  • Ability to work calmly under pressure and meet operational timelines.
  • Aligned with values of sustainability, conscious consumption, and mindful operations.
