Job Title:

Part-Time Accounting Support Specialist

Location:

Remote (Must be available until 12 PM CST / 8–5 EST overlap preferred)

Hours:

24 hours/week to start (may increase based on workload)

Overview:

AspiringIT is seeking a detail-oriented 
Part-Time Accounting Support Specialist

to provide accounts payable support, focusing on invoice processing and coding. The ideal candidate will have excellent attention to detail, strong organizational skills, and the ability to work independently while collaborating with other team.

Key Responsibilities:

  • Manage the 
    Accounts Payable (AP) mailbox
    , moving invoices to a centralized folder.
  • Code invoices by adding GL and department codes to PDF files, referencing prior invoices and code sheets.
  • Save coded invoices to one of 
    nine department SharePoint pending folders
     for approval.
  • Monitor approval status and follow up with approvers as needed.
  • Move approved invoices to the corresponding 
    approved SharePoint folders
     and update the centralized folder with signed PDFs.
  • Send signed invoices to AP for entry into the 
    Navision (Nav) ERP system
     for payment.
  • Maintain and update the Excel log of paid invoices; reconcile log entries with TB exports from Nav.
  • Follow special processing steps for certain vendors as required.

Qualifications:

  • Prior experience in 
    accounts payable
     or accounting support preferred.
  • Familiarity with 
    invoice coding, GL accounts, and department codes
    .
  • Experience with 
    SharePoint
     and 
    Excel
    ; exposure to 
    Navision ERP
     is a plus.
  • Strong communication skills to coordinate
  • Detail-oriented, organized, and able to work independently.
