Reporting to: Head Operations
Key Responsibilities
- Visitor & Guest Management
– Welcome and assist visitors, maintain logbooks, issue passes, and ensure hospitality standards. - Communication Handling
– Manage calls, messages, inquiries, and maintain updated contact directories. - Front Desk & Lobby Management
– Keep reception and lobby clean, organized, and stocked with necessary supplies. - Administrative Support
– Assist with filing, data entry, correspondence, travel bookings, and HR/admin tasks. - Meeting Room Coordination
– Manage bookings, room setup, AV/IT support, and guest sign-ins. - Mail & Courier Management
– Handle incoming/outgoing mail, courier tracking, and record keeping. - Security & Compliance
– Enforce visitor policies, coordinate with security, and report safety/maintenance issues. - Coordination & Liaison
– Work with HR, Admin, IT, and Facilities; assist in events and internal communication. - Record Keeping & Documentation
– Maintain supply inventory, visitor statistics, and prepare basic reports. - Technology & Tools
– Operate office systems, scheduling tools, and reception equipment with basic troubleshooting.
