Job Title: Project Expeditor/Planner CAPEX (Solar Module/Cell Plant)

Department: Supply Chain / Procurement / Projects

Location: [Insert Plant or Project Site Location]

Reports To: Manager Procurement (CAPEX) / Project Procurement Lead

Role Objective:

To expedite & Plan the delivery of capital equipment and materials for solar cell/module plant projects by actively following up with vendors, tracking timelines, coordinating with internal/external stakeholders, and resolving bottlenecks to ensure timely delivery, installation, and commissioning.

Key Responsibilities:

1. Expediting & Vendor Coordination:

  • Act as the single point of contact between project teams and vendors for order follow-up and delivery tracking of CAPEX items such as stringers, laminators, diffusion furnaces, PECVD machines, HVAC Cleanroom Systems, Electrical Systems, Fire Fighting Systems, UPW systems, WTP systems, etc.,
  • Regularly follow up with vendors for production schedules, inspection status, packaging, and dispatch plans.
  • Creation of L1, L2 & L3 or Gantt Charts for the projects.
  • Planning the projects as per the time line of the machineries to align project completion date.

2. Project Delivery Tracking:

  • Monitor and update the CAPEX delivery schedule for equipment and materials in line with project timelines.
  • Identify and escalate delays or risks in the supply chain that may impact project milestones (e.g., factory readiness, commissioning).

3. Documentation Management:

  • Ensure vendors submit all required technical and commercial documents (drawings, manuals, inspection reports, packing lists, etc.) before dispatch.
  • Coordinate with import/export logistics teams for customs documentation and clearance processes.

4. Cross-Functional Coordination:

  • Collaborate with procurement, engineering, logistics, civil, E&I (Electrical & Instrumentation), and project management teams to align site readiness with delivery schedules.
  • Facilitate resolution of site-vendor issues related to access, unloading, inspection, and installation readiness.

5. Reporting & Tracking Tools:

  • Maintain project-wise CAPEX expediting trackers, MIS reports, and status dashboards.
  • Participate in review meetings with vendors and internal teams; present delivery and progress status updates.

Qualifications:

  • Diploma or Bachelors Degree in Engineering (Mechanical, Electrical, or related fields).
  • 36 years of experience in expediting, logistics, or project procurementpreferably in capital equipment or solar industry.
  • Working knowledge of manufacturing equipment lead times and project lifecycle in large-scale industrial or renewable energy setups.
  • Proficiency in MS Excel, MS Project, and ERP tools (e.g., SAP, Oracle).

Preferred Skills:

  • Familiarity with solar cell/module production equipment and import processes.
  • Understanding of incoterms, LC documentation, customs clearance procedures.
  • Strong follow-up, problem-solving, and communication skills.
  • Ability to work under pressure with multiple vendors and cross-functional teams.
