Office Assistant – Roles and Responsibilities
Administrative Support
- Handle day-to-day administrative tasks such as filing, typing, scanning, and photocopying documents.
- Maintain and update company records, databases, and files (both digital and physical).
- Draft, proofread, and send correspondence such as emails, memos, and letters.
- Assist in preparing reports, presentations, and other office documents.
Office Coordination
- Manage incoming and outgoing calls, emails, and couriers.
- Schedule meetings, appointments, and travel arrangements for staff.
- Maintain office supplies inventory and place orders when required.
- Ensure cleanliness and organization of the office space.
Support to Management & Teams
- Provide administrative assistance to senior managers and team leads.
- Coordinate with other departments (HR, Accounts, Production, etc.) for smooth workflow.
- Assist in onboarding new employees by preparing documents and workstations.
- Accounts & Record Keeping (Basic)Handle petty cash and maintain expense records.
- Assist with data entry related to billing, invoices, and vendor payments.
- Track attendance and leave records if required.
Communication & Client Interaction
- Greet and assist visitors or clients arriving at the office.
- Maintain a professional front-desk environment.
- Coordinate with vendors, suppliers, and service providers.
Other Responsibilities
- Support in organizing office events, meetings, and staff activities.
- Perform any additional tasks assigned by management.
