Office Assistant – Roles and Responsibilities

Administrative Support

  • Handle day-to-day administrative tasks such as filing, typing, scanning, and photocopying documents.
  • Maintain and update company records, databases, and files (both digital and physical).
  • Draft, proofread, and send correspondence such as emails, memos, and letters.
  • Assist in preparing reports, presentations, and other office documents.

Office Coordination

  • Manage incoming and outgoing calls, emails, and couriers.
  • Schedule meetings, appointments, and travel arrangements for staff.
  • Maintain office supplies inventory and place orders when required.
  • Ensure cleanliness and organization of the office space.

Support to Management & Teams

  • Provide administrative assistance to senior managers and team leads.
  • Coordinate with other departments (HR, Accounts, Production, etc.) for smooth workflow.
  • Assist in onboarding new employees by preparing documents and workstations.
  • Accounts & Record Keeping (Basic)Handle petty cash and maintain expense records.
  • Assist with data entry related to billing, invoices, and vendor payments.
  • Track attendance and leave records if required.

Communication & Client Interaction

  • Greet and assist visitors or clients arriving at the office.
  • Maintain a professional front-desk environment.
  • Coordinate with vendors, suppliers, and service providers.

Other Responsibilities

  • Support in organizing office events, meetings, and staff activities.
  • Perform any additional tasks assigned by management.
