The Office Assistant provides administrative and clerical support to ensure efficient operation of the office. This role involves managing daily office tasks, handling correspondence, maintaining records, and assisting staff with various administrative duties.
Key Responsibilities:
- Perform general clerical duties including photocopying, scanning, mailing, and filing.
- Answer and direct phone calls, take messages, and handle inquiries professionally.
- Manage incoming and outgoing correspondence (emails, letters, and packages).
- Maintain and update company databases, records, and files.
- Assist in preparing reports, presentations, and documentation.
- Schedule meetings, appointments, and coordinate office calendars.
- Order and maintain office supplies and ensure proper office upkeep.
- Support HR and accounting departments with administrative tasks as needed.
- Greet visitors and assist them with their queries.
- Ensure confidentiality of sensitive information.
Required Skills & Qualifications:
- High school diploma or equivalent (Bachelor's degree preferred).
- Proven experience as an Office Assistant, Administrative Assistant, or similar role.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
