Job Summary

The Hospitality & Logistics Manager will lead and elevate events and logistics operations for IIT Bombay's Educational Outreach (EO) in-person programs. This role involves end-to-end management of accommodation, venue coordination, food & beverage operations, and vendor management for all physical programs. The ideal candidate will bring extensive hospitality experience, a strong vendor network, and the ability to manage large-scale events with quality and efficiency. A calm, highly collaborative, and action-oriented professional who can perform on deadlines will excel in this role.

Educational Outreach (EO)
is one of IIT Bombay's flagship initiatives, offering transformative learning experiences through online and offline programs. Our in-person programs host distinguished faculty, senior professionals, and learners from across the country.

Key Responsibilities

1.
Hospitality Operations & Guest Experience

· Manage end-to-end hospitality arrangements for EO's on-campus and off-campus programs.

· Ensure high-quality guest experience for faculty, speakers, and participants.

· Develop and execute hospitality enhancement strategies to deliver premium service standards.

2.
Accommodation Management

· Coordinate accommodation bookings across IITB guest houses and external partner hotels.

· Maintain relationships with a network of hotels ranging from economy to premium categories.

· Negotiate rates, contracting, and service delivery for guest stays.

3.
Venue & Logistics Management

· Identify, book, and set up venues for programs.

· Manage logistics including audio-visual support, seating layouts, signage, and housekeeping coordination.

· Oversee food and beverage requirements, ensuring quality, timeliness, and hygiene standards.

4.
Vendor & Stakeholder Collaboration

· Build and maintain a strong network of vendors: catering, event management, logistics services, transport providers, etc.

· Ensure vendor compliance with quality standards, safety norms, and cost controls.

· Partner closely with EO's Admin team and IITB operational teams for smooth execution of events.

5.
Quality Assurance & Continuous Improvement

· Monitor service quality throughout the event lifecycle.

· Address issues proactively and implement long-term process improvements.

· Maintain documentation, checklists, and reporting for program logistics.

6.
Miscellaneous

Perform other duties as assigned to support the organization's goals

Qualifications, Experience, and Competencies

Educational Qualifications

· Bachelor's degree in Hospitality, Event Management, Business Administration, or related field.

Professional Experience

· 6–10 years of hospitality, events, or event/venue management experience.

· Prior experience managing large-scale events, premium guest services, and vendor relationships.

· Demonstrated ability to lead hospitality excellence projects with measurable outcomes.
