Position: Document Controller

Location: Dubai, UAE

Candidate Preference: Indian National Industry: Construction / Contracting / Infrastructure / Engineering

Employment Type: Full-Time

Role Overview The Document Controller will manage, organize, and maintain all project-related documents in compliance with company procedures and UAE construction standards. The candidate must have strong communication skills, excellent attention to detail, and hands-on experience using document control software in the construction industry.

Key Responsibilities

  1. Document Management
    • Manage and control all incoming and outgoing documents (letters, drawings, submittals, RFI, MIR, WIR, RFQ, contracts, etc.).
    • Ensure documents are properly registered, updated, categorized, and stored.
    • Maintain accurate logs and trackers for all project documents.

  2. Drawing & Submittal Handling
    • Receive, review, and distribute architectural, structural, MEP, and shop drawings.
    • Prepare, submit, and track material submittals, method statements, shop drawings, and other technical documents.
    • Ensure all documents follow the company's numbering and formatting standards.

  3. Coordination & Communication
    • Coordinate with consultants, contractors, project managers, and site teams regarding document status.
    • Follow up on pending approvals, rejected submissions, and revision updates.
    • Manage communication records including emails, transmittals, and correspondence.

  4. System & Software Management
    • Maintain and update electronic document management systems (EDMS).
    • Scan, archive, upload, and back up project documents regularly.
    • Ensure confidentiality and proper permission levels for sensitive documents.

  5. Reporting & Compliance
    • Generate weekly and monthly document status reports for management.
    • Ensure compliance with ISO, QA/QC standards, and company procedures.
    • Support audits by providing accurate document control records.

Required Qualifications & Skills
• Bachelor's Degree or Diploma in any discipline.
• 5–7 years of document control experience (UAE construction experience preferred).
• Strong knowledge of construction documents, workflows, and terminology.
• Proficiency in MS Office, Excel, and document control software such as Aconex, Primavera, SharePoint, etc.
• Excellent communication and organizational skills.
• High attention to detail and multitasking ability.

Preferred Attributes
• Experience on large-scale Dubai projects.
• Understanding of UAE authority processes (DM, RTA, Trakhees, etc.).
• Ability to work under pressure and meet strict deadlines.
