Administration and Facilities Management:· Supervise and coordinate administrative tasks, office management, and facility maintenance.· Manage vendor relationships, negotiate contracts, and monitor service level agreements.· Support payroll -related processes including employee onboarding, records management, and benefits coordination.Operational Support:· Collaborate with cross -functional teams to ensure efficient operations.· Implement and improve operational processes and procedures.· Identify opportunities for cost optimization and operational efficiencies.· Monitor key performance indicators (KPIs) related to finance, administration, and operations.· Provide support for IT infrastructure, systems, and software as required.· Assist in managing compliance with applicable laws, regulations, and licenses.· Maintain software license renewals and take timely actions for optimum utilization of available resources.· Work with the IT infrastructure team to ensure that all the hardware and inventory data is being maintained correctly.Reporting and Communication:· Prepare periodic reports on administrative and operational performance.· Communicate financial performance, risks, and opportunities to relevant stakeholders.Financial Management:· Assist the finance manager with any financial data needed for planning, annual audit, and budgeting.· Prepare and manage client invoices through payment cycle.· Facilitate the execution of financial documents through e -signature platforms for clients and vendors.· Manage accounts payable and accounts receivable processes. Requirements2 - 4 Years of Experience.Client Invoice and Contract Management: Knowledge and experience in managing client invoices, ensuring timely payments, and overseeing contract negotiations and compliance.Strong leadership skills are essential for guiding and motivating teams, setting objectives, and driving performance.Excellent communication skills are necessary for effectively conveying information, collaborating with teams, and interacting with stakeholders.Proficiency in identifying and solving problems efficiently, analysing issues, and implementing effective solutions.
