Job Summary :

Support day-to-day HR operations, including recruitment coordination, documentation, onboarding, engagement, compliance, and support services such as travel and vendor coordination. Ensures accurate records, timely execution, and smooth workflows.

Key Responsibilities (Detailed)

1. Manage attendance and leave data

Monitor daily employee attendance and ensure timely updates in the HR system.

Track leaves (planned/unplanned) and maintain accurate leave balances.

Share monthly attendance reports with manager for payroll processing.

2. Support recruitment & onboarding

Coordinate with hiring managers to understand manpower requirements.

Schedule and facilitate interviews, assessments, and HR discussions.

Prepare offer letters, collect necessary documents, and manage the joining formalities.

Conduct employee orientation sessions and ensure smooth onboarding.

3. Maintain Employee Records and HR files

Create and update personnel files with employment contracts, ID proofs, and other documentation.

Digitize and organize employee data for easy retrieval.

Ensure compliance with data protection and confidentiality policies.

4. Ensure timely HR documentation (letters, checklists)

Draft and issue HR documents like appointment letters, confirmation letters, experience letters, etc.

Maintain and update HR checklists for recruitment, onboarding, and exit processes.

Ensure accuracy and timely distribution of all HR-related communication.

5. Coordinate employee engagement activities

Plan and execute team-building sessions, celebrations, and wellness programs.

Collect feedback from employees to improve engagement initiatives.

Drive participation in company events and ensure positive employee experiences.

6. Address and escalate grievances

Act as the first point of contact for employee concerns or issues.

Listen, document, and provide solutions or escalate to senior HR/management when needed.

Ensure fair handling of complaints to maintain a positive work environment.

7. Manage employee travel coordination with company drivers

Organize employee pick-up and drop services for office commutes or client visits.

Coordinate with company drivers to maintain punctuality and efficiency.

Ensure adherence to travel safety and expense guidelines.

8. Keep daily track of night shift employees

Maintain accurate attendance and work records for night-shift staff.

Ensure safety measures and transport arrangements for night-shift employees.

Share daily/weekly reports with respective managers.

9. Review and share reimbursement sheets

Collect employee expense claims with proper supporting documents.

Verify, process, and forward claims for approval.

Maintain a tracker of reimbursements and share reports with the finance team.

10. Travel Management

Handle bookings for official travel, including flights, trains, hotels, and cabs.

Coordinate itineraries and approvals as per company policies.

Track travel expenses and ensure adherence to budgets.

11. Ensure all HR trackers are updated by end of day

Maintain daily trackers for recruitment, attendance, grievances, reimbursements, etc.

Update and circulate HR dashboards/reports to management.

Ensure accuracy and consistency in HR MIS reporting.
