Role Overview
The Front Office Executive will be the first point of contact for visitors and clients - both in-person and online. This role also involves assisting with HR coordination tasks such as screening resumes, scheduling interviews, maintaining records, and ensuring smooth internal communication.
You will be the face and the voice of CultClicks - ensuring our workplace runs efficiently and our hiring processes are well-organized.
Key Responsibilities:
Front Office Management
- Greet and assist visitors, clients, and candidates professionally.
- Handle incoming calls, emails, and messages promptly and courteously.
- Manage office supplies, courier services, and basic administrative tasks.
- Coordinate meeting schedules and maintain front office cleanliness and organization.
- Support the team with day-to-day operational needs.
HR Coordination
- Assist in sourcing candidates through job portals, social media, and referrals.
- Screen resumes and shortlist suitable candidates as per job requirements.
- Coordinate and schedule interviews between candidates and hiring managers.
- Maintain candidate databases and update recruitment trackers.
- Support onboarding activities — document collection, ID generation, induction coordination.
- Maintain attendance, leave records, and basic employee data.
- Support HR in executing internal communication, engagement activities, and office culture initiatives.
Requirements
- Bachelor's degree in Business Administration, HR, or related field.
- 1–3 years of experience in front office or HR roles (agency or creative industry preferred).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, Outlook) and familiarity with job portals (Naukri, Indeed, LinkedIn).
- Professional appearance and a friendly, approachable demeanor.
- Ability to handle sensitive information with discretion.
Preferred Skills
- Basic knowledge of HR processes and recruitment tools.
- Experience in digital marketing or creative agency environments.
- Positive attitude, problem-solving mindset, and team player.
- Customer service-oriented approach.
