Manager-Legal Operations

Location – Hyderabad #LI Hybrid

About the Role:

Functional management and delivery of processes related to Legal billing, contract management, document management, purchase order management, compliance, and intellectual property landscape and research. Will be responsible for driving various internal businesses within Legal operations while adhering to Novartis Policies & guidelines under minimal supervision.

Key Responsibilities:

• Drive and manage associates, providing guidance and support in legal operations activities, including payments, compliance, vendor management, billing, legal billing, invoice management, contract management, and intellectual property landscape and research.

• Foster close collaboration between stakeholders and internal support teams, managing stakeholder expectations, conflicts, work allocation, and escalations. Ensure precise tracking, monitoring, and quality assurance activities.

• Efficient project management support for the overall well being the agreed SLAs, KPIs, TATs etc - Maintain and monitor process trackers, quality logs, issue logs, and other process documentation. Collaborate with internal teams to track and report monthly Key Performance Indicators (KPIs) to stakeholders.

• Identify, analyze, and mitigate risks through proactive measures. Take responsibility for backup management and implement strategic changes to overcome foreseen risks. Seek feedback and develop strategies to improve stakeholder feedback and experience.

• Create and maintain a robust system to enable simple and efficient internal processes and management. Review and maintain all process-related documents on the shared drive to ensure comprehensive documentation availability.

• Assist reporting Manager/Team lead with data collection from teams, process decks, SOPs, Process maps, timely updates, resource utilizations, SoWs, resource plans when required and other Operational tasks.

• Regularly connect with the team to review and discuss unique instances, plan approaches, gather insights, and document for future references. Follow up with internal teams and clients to resolve issues/queries in a timely manner when required.

• Act as a subject matter expert for processes and tool-related queries, providing necessary training and support. Formulate and propose improvement ideas in collaboration with the internal team to streamline existing processes.

Role Requirements:

• 8+ years of experience in Business operations, preferably legal and compliance operations.

• Degree in business administration and/or equivalent experience related field.

• Proven experience in legal operations, compliance, legal billing and knowledge on intellectual property rights with respect to pharmaceutical industry along with a focus on process improvement and management.

• Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

• Strong interpersonal, effective communication – written and verbal, analytical capability and problem-solving skills

Desirable Requirements:

• Adaptive and a strong team player with the ability to work collaboratively and with people at all levels.

• Knowledge of billing and legal tools and technology, as well as proficiency in Microsoft Office Suite.
