Location - Bhanpur, BHOPAL, MP
Role Objective: The primary objective of Administrative Head is to ensure the seamless operation and continuous improvement of hospital services, focusing on delivering high-quality patient care, optimizing operational efficiency, and maintaining compliance with healthcare standards. This role involves strategic planning, effective resource management, and fostering a culture of excellence and patient-centered care.
Qualification / Certification / Specialist Training:- Post Graduation (Hospital adminstration)/diploma in management.
OVER ALLEXPERIENCE Years
Specific / Relevant Experience :- 5-10 years
KEY RESPONSIBILITIES Regulatory Compliance :
- Conduct monthly audits as per National Accreditation Board for Hospitals & Healthcare Providers (NABH) requirements, including necessary CAPA and RCA reports.
- Prepare for assessments, coordinate, and accompany assessors during rounds.
- Submit replies to Non-Compliances (NCs) with evidence to the concerned authority.
- Regularly review and update Standard Operating Procedures (SOPs).
- Conduct ward/departmental rounds, discuss non-compliances with Heads of Departments (HODs) on weekly basis.
- Ensure timely preventive maintenance of all machines and equipment.
- Checking all necessary licenses, MOUs and agreements and coordinate with legal team for renewals.
- To monitor Training Programs under NABH requirements.
Performance Improvement :
- Conduct regular team meetings.
- Maintain and update all necessary forms, registers, and mandatory details.
- Review all patient feedback forms, and compile Corrective and Preventive Action (CAPA) and Root Cause Analysis (RCA) reports.
- Conduct and document Minutes of Meetings (MOM) of the Committees.
- Review Quality Indicators, collect raw data, and perform data analysis.
- Conduct mock drills through the team, train staff, and maintain mock drill data.
Hospital Operations
- Address clinical patient complaints in collaboration with HODs/unit in-charges.
- Implement admission, transfer, DOR, and discharge policies during in-house camps, coordinating with all consultants and MS.
- Facilitate and Coordinate with external Audit agencies like CMHO, Nagar Nigam, NMC any other state or central government agency for Assessments and Audits.
- Conduct meetings to assign duties to managers, patient coordinator & executives.
- Follow up with all incharges to solve any discrepancies.
- Verify the accuracy of information provided to patients.
- Address patient queries promptly.
- Provide exceptional customer service to patients and their relatives.
- Facilitate smooth coordination between various departments for a speedy and quality admission process.
- Approve or reject indents requests after verification as per requirements.
Facilities Management
- Monitor laundry services.
- Monitor all hospital transport services.
- Ensure cleanliness throughout the hospital premises.
- Ensure proper disposal of biomedical waste.
- Supervise pest control activities within the unit.
- Ensure proper signage is available throughout the hospital.
Emergency Preparedness
- Resolve staff complaints from various departments.
- Oversee the issuance of blood and blood products during emergencies, in coordination with the MS.
- Coordinate with the MS for patient transfers if doctors do not admit from emergency or other departments.
1. Strategic Support for Marketing Initiatives
Collaborate with the marketing team to align administrative operations with promotional campaigns and branding activities.
Assist in planning and execution of marketing events, conferences, and corporate presentations.
2. Vendor & Partner Coordination
Coordinate with external vendors, advertising agencies, and event organizers for marketing and outreach activities.
Support business partnerships and liaise with vendors for promotional materials and branded assets.
3. Cost Optimization & Resource Management
Identify opportunities for cost savings and operational efficiency to enhance profitability.
Implement vendor management strategies and negotiate contracts to reduce overhead expenses.
4. Support to Revenue-Generating Departments
Collaborate with sales, marketing, and business development teams by ensuring seamless administrative support for their functions.
