Job Purpose:

The Export Executive is responsible for managing and coordinating international sales,

logistics, and documentation for exports. This role ensures smooth shipment of goods,

compliance with export regulations, and timely communication withoverseas clients and freight partners.

Key Responsibilities:

1. Export Documentation & Compliance

Prepare and manage export documentation such as invoices, packing lists, shipping bills, bills of lading, certiificates of origin, etc.

Ensure all documents comply with customs regulations and trade laws.

Liaise with CHA (Customs House Agents) and freight forwarders to clear shipments.

Track and verify LC (Letter of Credit) terms and ensure accurate documentation for payment realization.

2. Order Processing & Coordination

Receive and process export orders in Tally.

Coordinate with the production, inventory, and logistics teams to ensure order readiness and timely dispatch.

Monitor order status and provide regular updates to clients.

3. Logistics & Shipment Management

Negotiate freight rates and manage logistics arrangements with shipping lines and forwarders.

Schedule shipments and ensure timely delivery to customers.

Track shipments and handle any transport-related issues or delays.

4. Customer & Market Management

Handle customer queries, complaints, and feedback professionally.

5. Payment & Accounts Coordination

Coordinate with the Finance department to ensure timely payment collection from overseas clients.

Follow up on overdue payments and manage export incentive schemes (like Duty Drawback / RODTEP).

6. Reporting & MIS

Maintain export sales records, shipment tracking, and documentation logs.

Prepare weekly/monthly export reports for management review.

Key Skills & Competencies:

Excellent knowledge of export documentation and procedures

Understanding of INCOTERMS, LCs, and customs clearance

Strong coordination and communication skills

Attention to detail and accuracy in document handling

Familiarity with ERP systems and MS Office

Problem-solving and multitasking ability

Fluency in English (knowledge of additional languages is a plus)

Qualifications & Experience:

Education: Bachelors degree in Commerce or Business Administration, International Trade, or a related field

Experience: 4 to 5 years in export documentation
