Job Overview

We are seeking a dedicated Executive Assistant for our operations in Mumbai. This full-time, junior-level position requires up to 3 years of work experience. The Executive Assistant will play a critical role in supporting senior management with administrative tasks, ensuring smooth daily operations and contributing to strategic projects.

Qualifications and Skills

  • Proficiency in Google Workspace, including Gmail, Docs, Sheets, and Slides, for seamless document and communication management.
  • Experience with Microsoft Office Suite, demonstrating expertise in Word, Excel, and PowerPoint to enhance productivity and efficiency.
  • Strong calendar management skills to efficiently organize meetings, appointments, and events for seamless scheduling.
  • Proficient in travel coordination, managing travel arrangements, itineraries, and accommodations for executives.
  • Familiarity with communication tools and platforms to facilitate effective collaboration and information sharing among teams.
  • Experience with project management software to assist in planning, executing, and tracking project milestones efficiently.
  • Competence in expense reporting to ensure accurate tracking, management, and submission of expenses and budgets.
  • Ability to manage virtual meeting platforms for organizing, facilitating, and troubleshooting virtual meetings and webinars.

Roles and Responsibilities

  • Provide administrative support to senior management, including scheduling meetings, appointments, and conferences efficiently.
  • Coordinate domestic and international travel arrangements, ensuring all logistics are effectively managed and communicated.
  • Facilitate clear communication within the team by organizing information flow and managing correspondence effectively.
  • Assist in project management tasks, tracking progress, and reporting on key milestones to ensure timely delivery.
  • Handle expense reports, ensuring timely and accurate submission of financial documentation for reimbursement.
  • Organize and maintain digital files and records, ensuring information is readily accessible and securely stored.
  • Support the preparation and distribution of presentations, reports, and documentation required for senior leadership.
  • Aid in the management of executive calendars, optimizing and prioritizing tasks for enhanced workflow and productivity.
