- Building client relationship, understanding & identifying client needs.
- Implementation of defined CRM process, scheduling meeting, keeping a track
of action points & closure of the same
- Handling Move in and Move Outs- the manager is responsible for inspecting
the unit, checking for damages. Responsible for Asset verification, repairing
damages if any.
- Will be responsible for service delivery to all the clients as per requirement.
Ensure smooth running of all services in the premises.
- Efficient governance of assign operational budget & keeping the expenses
under tolerance
- Shall manage the entire building operations in co-ordination with outsourced
team
- Synching with cluster SME for any kind of guidance, troubleshooting & clarity
on governance checks
- Ensure service delivery by outsourced team as per SLAs. Making sure that SLA,
MIS & MMR are scheduled as per defined frequency
- Short falls in service identified by SMEs, documenting the same and
highlighting to outsourced team manager with corrective actions to ensure
non repeat of the short falls.
- To focus on using best business practice to improve efficiency, by reducing
operating costs while increasing productivity.
- Shall be responsible for strategic planning and day-to-day operations,
particularly in relation to buildings and premises.
- Shall be responsible for all statutory and legal compliances for all his buildings.
- Planning for future development in line with strategic business objectives;
managing and leading change to ensure minimum disruption to core activities.
- Shall be responsible for planning and getting implemented all preventive
maintenance activities through outsourced team, with least disruption to
business and client service.
- Shall be responsible for planning end of life replacement of equipments in
consultation with Technical SME.
- Keep track of completion of all helpdesk service requests from clients all
complaints to be closed with corrective actions to prevent recurrence of the
client complaint.
- Review /suggest / approve plans and procedures for handling complaints or
requests from building Clients or occupants
- Assist Clients, prospective Clients, and the building owners in space planning
and estimating costs while maintaining established building standardsRole & responsibilities.
Assist team with accounts receivable including late fees, CAM collection
/reconciliations,(ensure optimal cash flow by setting a date to collect rent
each month and strictly enforcing late fees) defaults, and disputes
- Review / approve monthly utility billings to Clients and ensure timely
collection of the same.
- Responsible for the physical management of the property, including regular
maintenance and emergency repairs. May include/engage contractors to get
the job done.
- Regularly inspect Client spaces, public, mechanical, and ground areas to
ensure property maintenance and cleanliness.
- Responsible for operation of M&E Services (Power, Water, AC, Lifts, FPS, STP),
cleaning, Waste Management, Pest control, Gardening, Physical Security,
Traffic & parking management, Food Court Management, AMC management
- Shall be responsible for attending to all emergency breakdowns in his
buildings, as per contingency plans.
- Shall lead the response to any emergency in co-ordination with the
outsourced team as per the Emergency Response Plan, during normal duty
hours.
- Will be responsible for all safety and security compliance in the building.
- Shall prepare annual CAM budget and mange expenses as per the budget.
Monthly review of the budget.
- Provide technical assistance and advice on building operations systems
including HVAC, electrical, energy management, plumbing, roofs, fire safety,
environmental issues, security, and controls
- Ensure to keep thorough records regarding the property. This should include
all income and expenses; list of all inspections, signed leases, maintenance
requests, any complaints, records of repairs, costs of repairs, maintenance
costs, record of rent collection and insurance costs.
- Shall ensure all processes are followed in compliance of Quality management
system and OH&S management system processes.
- Shall ensure staff working in the building are regularly trained on Standard
operating procedures, HIRA and permit to work. Shall insist on Annual training
plan for all outsourced staff.
- Ensuring adequate supervision is available for processes in the building.
- Shall ensure risk assessment is conducted of all activities in consultation with
on ground staff and adequate control measures are planned and implemented
on site.
- Getting internal audit done through the outsourced vendors audit team.
