Job Description SummaryThe Vendor Specialist Team Leader is responsible for overseeing a team of Vendor Specialists who manage Purchase Orders (POs), invoice approvals and managing and governing relationship with vendors who delivers services in the HR Operations workstreams. This Team Leader role involves ensuring the efficient and effective management of vendor relationships, invoice processing, and PO amendments. The Team Leader will collaborate with the Buy Desk and Accounts Payable teams, as well as business stakeholders, to ensure the delivery of a high-quality service.The Vendor Specialist Team Leader is responsible for overseeing a team of Vendor Specialists who manage Purchase Orders (POs), invoice approvals and managing and governing relationship with vendors who delivers services in the HR Operations workstreams. Roles and Responsibilities

  • Lead, mentor, and develop a team of Vendor Management Specialists, providing guidance, training, and performance feedback.
  • Foster a collaborative and high-performance team environment, promoting best practices and continuous improvement.
  • Ensure the team effectively manages and tracks the end-to-end process of vendor invoice handling, PO amendments, and Service Cloud cases.
  • Monitor and report on team performance metrics and KPIs, identifying areas for improvement and implementing corrective actions.
  • Ensure the team effectively manages vendor performance and governance, act as the primary escalation point for vendor performance issues, providing timely and accurate resolutions.
  • Engage with key business stakeholders to drive root cause analysis to improve processes and stakeholder experience.
  • Engage with business stakeholders to identify and resolve invoice process bottlenecks and enhance vendor relationships.
  • Collaborate with cross-functional teams to optimize vendor management practices and identify consolidation opportunities.
  • Oversee the development and management of vendor reports and dashboards, leveraging data analysis for performance tracking.
  • Ensure the team maintains up-to-date training materials and standard work documentation.
  • Identify training and development needs for the team, facilitating professional growth and skill enhancement.

Required Qualifications

  • Proven experience in a leadership or team management role.

  • Experience with spreadsheets and ERPs/Purchasing systems.
  • Experience in performance tracking and management, with a proven ability to use data analytics to drive improvements.
  • High attention to data accuracy and validation.
  • Effective problem-solving abilities.
  • Demonstrated cross-functional collaboration.
  • Ability to work independently and lead a team with minimal supervision.
  • Experience with spreadsheets and ERPs/Purchasing systems.

Education and Experience

  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
  • Proven leadership experience, preferably within a similar industry.
