About the Role
We are seeking a highly efficient and proactive
Executive Assistant (EA) to the CEO
who can manage a wide range of administrative, operational, and coordination tasks across our Talent Acquisition, Logistics, and Warehousing verticals. The ideal candidate will be detail-oriented, adaptable, and capable of handling fast-paced operations while ensuring smooth communication and execution for the CEO's office.
Key Responsibilities
1. Executive & Administrative Support
- Manage the CEO's calendar, scheduling, travel plans, and daily priorities.
- Handle email correspondence, draft communications, and ensure timely follow-ups.
- Prepare MIS reports, business decks, proposals, and meeting summaries.
- Maintain confidentiality of strategic, operational, and personnel-related information.
2. Coordination Across Business Verticals
- Liaise with Talent Acquisition teams for updates on client mandates, candidate pipelines, and business development tasks.
- Coordinate with Logistics & Warehousing teams to track operational updates, Fulfillment KPIs, client SLAs, and escalations.
- Follow up with department heads to ensure timely execution of the CEO's directives.
3. Operational & Project Support
- Track key projects, deadlines, client deliverables, and internal performance metrics.
- Assist with documentation related to vendor management, client contracts, and operational compliance.
- Support in coordinating audits, SOP reviews, and process improvement initiatives across warehousing and logistics functions.
4. Stakeholder Management
- Serve as the central point of contact between the CEO and internal/external stakeholders.
- Coordinate client meetings, review sessions, and partnership discussions.
- Ensure smooth communication flow among leadership, operations, HR, and finance teams.
5. Travel, Scheduling & Logistics
- Plan and manage domestic travel, warehouse visits, and client meeting schedules.
- Organize itineraries, accommodation, and logistics for business travel.
6. Strategic Assistance
- Conduct research, gather data, and prepare insights for strategic decisions related to hiring, logistics operations, and warehousing expansion.
- Support the CEO with preparing dashboards and performance overviews for various business units.
Required Skills & Qualifications
- Bachelor's degree in Business Administration, Operations, HR, or related fields.
- 1–3 years of experience as an Executive Assistant
- Strong communication skills (written & verbal).
- Excellent time management and organizational skills.
- Proficiency in Excel, PowerPoint, Google Workspace, and productivity tools.
- Ability to multitask, prioritize, and work with minimal supervision.
- High integrity, professionalism, and discretion while handling sensitive information.
