JOB OBJECTIVE (Summary of Overall Job Purpose)

Supervise all freight forwarders across all modes (air, sea, and courier) and freight clearance contractors to ensure timely material arrival, customs clearance, and local transportation in full compliance with applicable customs policies and regulations.

KEY RESPONSIBILITIES

Policies, Processes & Procedures

  • Implement approved departmental policies, processes, and procedures.
  • Provide guidance to subordinates and monitor adherence to ensure controlled and compliant operations.
  • Ensure employees follow information security rules and data protection measures to safeguard company information and intellectual property.

Day-to-Day Operations

  • Plan and manage daily freight forwarding activities across all modes.
  • Supervise logistics operations to ensure compliance with established standards and procedures.
  • Prepare logistics and shipment plans as per project and material movement requirements.
  • Develop and evaluate freight service providers to ensure cost-effective and efficient service.
  • Finalize freight forwarders through the companys sourcing portal.
  • Supervise overseas and local freight and clearing companies through logistics coordinators.
  • Liaise with user departments, customs, and service providers to resolve logistics-related issues.
  • Verify and approve freight invoices and ensure claim-free customs processes.
  • Troubleshoot documentation issues related to customs clearance.
  • Maintain comprehensive records of shipments, delays, and associated costs.
  • Motivate, coach, and develop team members for performance excellence.

Direction of Subordinates

  • Organize, allocate, and supervise work assignments of subordinates.
  • Conduct performance appraisals and identify training and development needs.

Continuous Improvement

  • Identify opportunities for process and system enhancements to align with international best practices.
  • Recommend initiatives to improve productivity, reduce costs, and optimize workflow.

Reporting

  • Prepare and submit departmental reports accurately and on time in line with company requirements and standards.

Safety, Quality, Environment & Information Security

  • Ensure compliance with safety, quality, and environmental policies to maintain a safe and sustainable workplace.
  • Reinforce adherence to information security protocols to protect company data and assets.

  • Perform other related duties or assignments as directed to support the continuous operation of the department.

KEY COMPETENCIES

Language Skills

  • Fluent in English (verbal and written).
  • Knowledge of other languages is an advantage.
  • Strong technical vocabulary and report-writing ability.

Technical Competencies

  • In-depth knowledge of logistics and freight forwarding operations.
  • Strong understanding of freight handling and warehouse operations.
  • Knowledge of insurance documentation and systems.
  • Familiarity with UAE agency requirements (Dubai Municipality, TRA, RTA, FANR, etc.).
  • Exposure to materials used in marine or offshore environments preferred.
  • Proficiency in MS Office and logistics software applications.
