Job Description

We are seeking a highly experienced and motivated Assistant Operations Manager to join our organization. The Assistant Operations Manager will be responsible for assisting in the day-to-day operations of our organization, managing teams, establishing performance matrices, budgeting, forecasting, and conducting financial analysis. The successful candidate must possess strong leadership skills, excellent analytical abilities, and a solid understanding of operational processes and procedures. The Assistant Operations Manager will work closely with teams to ensure Zoho CRM, Zoho Projects, and other integrated tools are used effectively and processes are streamlined.

Key Responsibilities:

  • Assist in daily operations to ensure smooth workflow and operational efficiency.
  • Support departments in implementing operational strategies, policies, and procedures to enhance productivity and performance.
  • Assist in supervising operational staff by providing guidance and support to ensure task completion and engagement.
  • Help establish and monitor performance matrices and KPIs for operational processes.
  • Assist in conducting team performance tracking and provide feedback as per operational guidelines.
  • Support and manage Zoho CRM and Zoho Projects tasks: update records, assign tasks, maintain dashboards, and ensure proper data flow across teams.
  • Implement Zoho automation processes as instructed, including task assignments, follow-ups, project templates, and reporting workflows.
  • Ensure data integrity, accuracy, and compliance with internal system protocols.
  • Provide operational support to marketing and BDM initiatives, including dashboards, reporting, and workflow assistance.
  • Assist in onboarding, training, and refresher programs for operational staff.

Qualifications

  • Bachelor's degree in Business Administration, Operations Management, or a related field. Advanced degree preferred. Must have Lien Six Sigma Certification.
  • Minimum of 5-7 years of work experience in Operations Management within a Law office, Financial firm, or related industries with overall work experience of 7-10 years minimum.
  • Strong expertise in the following areas: general operations experience, team management, establishing performance matrices, budgeting, forecasting, and financial analysis.
  • Practical knowledge and hands-on experience with Zoho CRM, Zoho Projects, and Zoho automation tools.
  • Proven leadership skills with the ability to inspire and motivate teams to achieve goals.
  • Excellent analytical and problem-solving abilities, with a keen attention to detail.
  • Strong financial acumen and the ability to analyze and interpret financial data.
  • Exceptional communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.
  • Proficiency in using operational management software and tools.
  • Demonstrated ability to adapt to changing priorities and manage multiple projects simultaneously.

Eastern Standard Time (Toronto time)

Monday to Friday 9:00 am to 6:00 pm
