The Office Assistant will be responsible for assisting in the day-to-day operations of the company secretarial function, ensuring accurate documentation, compliance, and coordination with internal and external stakeholders. This role involves handling both digital and physical records, supporting board and regulatory documentation, and facilitating smooth communication with banks, depositories, and other authorities.

Role & responsibilities:

  • Maintain and update records using Cimplify software for secretarial documentation.
  • Process invoices through Oracle, ensuring timely and accurate entries.
  • Print and prepare minutes of meetings and other secretarial documents.
  • Coordinate with signatories to obtain necessary approvals and signatures.
  • Scan, organize, and archive documents in designated folders.
  • Periodically bind and number minutes for record-keeping and compliance.
  • Manage physical filing, document inventory, and retrieval systems.
  • Submit documents to banks, depositories, DPs, and other external entities as required.
  • Assist in the preparation of physical documents for Board Meetings.
  • Handle documentation for share transfers, security issuances, and Demat account processes, including coordination with approving authorities.
  • Prepare Attendance Sheets and Certified True Copies of Resolutions.
  • Travel to Delhi or other offices as needed for document management, especially during acquisitions or takeover activities.

Preferred candidate profile

  • Graduate in any field.
  • Familiarity with secretarial software (e.g., Cimplify) and ERP systems (e.g., Oracle).
  • Strong organizational and documentation skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Willingness to travel for work-related assignments.
