Objectives of the Associate - Admission Executive

  • Drive student enrollment growth by converting inquiries into admissions.
  • Counsel prospective students and parents on courses, eligibility, and career opportunities.
  • Ensure smooth handling of admission applications, documentation, and fee collection.
  • Follow up on leads (walk-ins, calls, digital campaigns, and referrals) to maximize conversions.
  • Collaborate with academic, finance, marketing and operations teams for seamless student onboarding.
  • Maintain accurate admission records and reports for review and audits.
  • Deliver excellent student and parent experience to build trust and referrals.
  • Achieve monthly and quarterly admission targets set by management.
  • Adhere to institutional admission policies and compliance requirements.
  • Contribute to continuous improvement in admission processes and student engagement.

DUTIES

Warm Greeting and Inquiry Handling:

Welcome parents and students warmly, creating a positive first impression. Listen attentively to their concerns and queries, providing friendly and professional assistance throughout their visit.

Information Management:

Develop and maintain a comprehensive FAQ document covering common inquiries. Ensure access to accurate information about the institute's programs, facilities, policies, and fee structures.

Program Familiarization:

Should have in-depth knowledge about Government exam courses which we are offering, including entrance exam preparation programs, course curriculum, faculty expertise, and hostel facilities. Explain these details clearly and concisely to interested parties.

Advocacy and Communication:

Effectively communicate the advantages and unique features of the institute, highlighting its success record, personalized coaching, infrastructure, individualized attention, and support systems.

Financial Assistance and Fee Structure:

Discuss the institute's fee structure, payment options, scholarships, and financial aid programs. Assist in completing necessary paperwork and provide transparent information about costs involved.

Payment Handling:

  • Collect payments from parents or guardians, ensuring accuracy and transparency. Guide them through payment processes, issue receipts promptly, and maintain detailed payment records.
  • Follow up students for balance fee collection.
  • The admission executive should handle course fee / cash in the absence of accountant.
  • Coordinate with accounts team for all finance related matters.

Financial Aid Processing:

Receive and review applications for financial assistance, verifying authenticity and eligibility. Collaborate with relevant stakeholders to assess and facilitate financial aid for qualifying students. Manage communication between students and sponsors, maintaining accurate sponsorship records.

The Admission Executive plays a pivotal role in welcoming and assisting prospective students and parents who visit the institute for inquiries and admissions.

Responsibilities:

  • Interview students and assess their academic achievements, leadership capabilities, and suitability for admission.
  • Provide prospective students with information related to enrolment procedure and requirements.
  • Research and evaluate student eligibility qualifications.
  • Should do LSQ punching for admissions.
  • Follow up students for balance fee collections.
  • Attend college fairs and guidance counselling events to reach out to potential admission candidates.
  • Develop relationships with students and parents to ensure that prospective students receive the information they require to make an informed decision.
  • Provide guidance and advice to students regarding the admissions and enrolment procedures.
  • Define, develop, and implement admission process policies, procedures, and standards.
  • Organize and execute meetings and presentations related to admission team.
  • Review and assess student eligibility criteria for admission purposes.
  • Analyse and report admission data to the higher authorities.
  • Monitor and maintain records related to admission.

Requirements and Skills:

  • Knowledge of the admissions process and government exam's eligibility criteria.
  • Excellent communication and interpersonal skills.
  • Strong organizational and data analysis aptitude.
  • Ability to multi-task and handle a high volume of work.
  • Knowledge of computer software, including Adobe Acrobat, Microsoft Excel, and Word.
