The Overseas Education Counsellor (Team Leader) plays a vital role in guiding students toward achieving their study abroad goals while leading and mentoring a team of counsellors. The role demands strong leadership, communication, and organizational skills, as well as deep knowledge of global education systems, visa procedures, and institutional requirements. The Team Leader ensures that counselling operations run efficiently, targets are achieved, and students receive exceptional service throughout their admission journey.
Key Areas of Responsibility
1. Student Counselling
- Provide personalized counselling to students based on academic qualifications, career aspirations, financial capacity, and destination preferences.
- Guide students in selecting suitable universities, programs, and intakes aligned with their academic and professional goals.
- Explain admission requirements, eligibility criteria, and course details for multiple study destinations.
- Offer transparent, ethical, and student-centric advice to ensure trust and satisfaction.
- Maintain a friendly, respectful, and professional approach to enhance the overall student experience.
2. Team Leadership & Performance Management
- Lead, mentor, and motivate a team of academic counsellors to meet individual and collective performance targets.
- Conduct regular coaching and training sessions to improve product knowledge, counselling techniques, and compliance with company policies.
- Monitor daily activities and track counsellor productivity to ensure consistent performance.
- Provide constructive feedback and implement corrective measures to enhance service quality and conversion rates.
- Allocate tasks, distribute leads, and plan work schedules to ensure smooth and efficient team operations.
- Foster a collaborative, goal-driven work environment that encourages accountability and excellence.
3. Targets & Registrations
- Consistently achieve or exceed individual and team registration and conversion targets.
- Plan and execute strategies to meet daily, weekly, monthly, and annual admission goals.
- Develop innovative methods to maximize enrolments through in-person and virtual counselling sessions.
- Utilize promotional activities, events, and educational expos to boost registrations and brand visibility.
4. Calls & Follow-ups
- Maintain a minimum of 50 connected calls per day to ensure steady student engagement and pipeline development.
- Supervise the team's calling activity and ensure timely follow-ups for all enquiries and registered students.
- Implement systematic follow-up mechanisms to enhance communication, build rapport, and improve conversion rates.
- Develop engagement strategies to retain student interest and minimize drop-offs during the counselling or application process.
5. Lead Generation & Business Development
- Drive new initiatives to generate high-quality student leads through innovative campaigns and collaborations.
- Coordinate presentations, awareness programs, and seminars at schools, colleges, and institutions to create brand awareness.
- Build partnerships with educational institutions and other organizations to expand lead sources.
- Contribute to marketing campaigns by sharing student insights and participating in promotional events.
- Collaborate closely with marketing and business development teams to achieve lead generation objectives.
6. Record Keeping & Reporting
- Ensure timely submission of individual and team reports, including daily, weekly, and monthly updates.
- Maintain a well-organized database of leads, enquiries, applications, and admissions using CRM tools.
- Review and verify team reports to ensure accuracy, completeness, and adherence to turnaround times (TATs).
- Keep accurate records of student communications, documents, and conversions for reference and audit purposes.
- Ensure data confidentiality and compliance with company and institutional data protection standards.
7. Research & Knowledge Development
- Stay informed about global education trends, university updates, scholarships, visa changes, and policy updates.
- Research new programs, intakes, and opportunities across top study destinations such as the UK, USA, Canada, Australia, and Europe.
- Share timely updates and insights with the counselling team to improve information accuracy and service quality.
- Encourage team learning through internal discussions, knowledge-sharing sessions, and regular briefings.
- Continuously upgrade personal and team knowledge to maintain competitive expertise in the study abroad domain.
8. Participation & Branch Support
- Actively participate in webinars, expos, delegate meetings, and branch-level training programs.
- Support team members during peak admission seasons to manage high student volumes effectively.
- Collaborate with other departments to streamline admission and documentation processes.
- Represent the branch in delegate meetings, industry networking events, and institutional visits.
- Assist in the organization of marketing or admission events to strengthen student engagement and institutional relationships.
9. Meetings & Strategy Alignment
- Attend daily, weekly, and monthly meetings with Branch Managers and senior management to review performance and strategies.
- Lead morning and evening briefing sessions with counsellors to assign targets, track progress, and address challenges.
- Share feedback, insights, and suggestions to improve overall counselling operations.
- Align team objectives with company goals to ensure unified progress and consistent business outcomes.
- Implement strategies based on management directives and continuously assess their effectiveness.
10. Walk-ins & Virtual Counselling
- Generate 10–20 successful walk-ins per month by ensuring active engagement and outreach within the local community.
- Provide equal attention and service quality to both in-person and virtual counselling sessions.
- Guide counsellors in effectively converting walk-in enquiries and online leads into successful admissions.
- Maintain a balance between face-to-face consultations and digital engagement to optimize reach and conversions.
11. Branch Visits & Lead Management
- Conduct regular visits to allocated academies, institutions, and branches to collect leads and engage with prospective students.
- Build strong professional relationships with CROs, branch staff, and partner institutions to ensure steady lead flow.
- Supervise and monitor the lead management process, ensuring every enquiry is tracked, followed up, and updated in CRM systems.
- Analyze lead conversion performance and identify areas for improvement or intervention.
- Coordinate with cross-functional teams to ensure leads are nurtured effectively until conversion.
Qualifications / Requirements
A bachelor's degree in education, international relations, business, or a related field.
Experience in counseling or student services, especially in the context of international education.
(Min 2- 5 years) preferred
